Key Responsibilities
Payroll Administration
- Manage end-to-end monthly payroll processing for employees. Ensure timely and accurate salary disbursement in accordance with organizational policies and statutory requirements.
- Validate payroll inputs, including attendance, shift schedules, leave records, overtime, LTA, LWP, allowances, reimbursements, earnings, deductions, recoveries and statutory components prior to payroll processing.
- Administer attendance, shift, overtime, and leave records to ensure seamless payroll execution.
- Verify salary revisions, increments, promotions, confirmations, and compensation changes before payroll processing.
- Prepare salary adjustment statements and payroll summaries.
- Generate monthly payroll reports and salary-related MIS for management review.
- Coordinate with payroll consultants and finance teams for smooth payroll processing.
Employee Life Cycle Management
- Maintain employee master data and update HRMS records relating to appointments, confirmations, transfers, promotions, salary revisions, and separations.
- Ensure employee records and personnel files are updated and maintained accurately at all times.
- Maintain confidentiality and security of employee records and payroll information.
Full & Final Settlement
- Process Full & Final Settlements (F&F) of resigned, retired, and separated employees in accordance with organizational policies.
- Calculate and process leave encashment, gratuity, notice pay recoveries, salary recoveries, loan recoveries, bank recoveries, court recoveries and other settlement components.
- Coordinate with concerned departments to complete clearance and exit formalities.
- Ensure timely settlement processing and issuance of related documents.
- Maintain accurate records of all Full & Final Settlement transactions and supporting documentation.
Statutory Compliance & Employee Benefits
- Process and verify statutory deductions such as Provident Fund PF, ESIC with coordination of PF, ESIC Consultant, Professional Tax (PT), Labour Welfare Fund (LWF), Tax Deducted at Source (TDS), and other applicable deductions.
- Coordinate employee benefits administration, including Mediclaim, Gratuity, PF, ESIC, Bonus, LTA, and other employee welfare schemes.
- Liaise with consultants and statutory authorities regarding payroll and compliance-related matters.
- Maintain statutory records and ensure timely submission of compliance-related information.
- Assist during internal and external audits by providing payroll and employee-related documentation.
Employee Relations & Query Resolution
- Handle employee queries relating to salary, payroll, attendance, leave, PF, ESIC, statutory deductions, benefits, and HR policies in a timely and professional manner.
- Provide guidance and support to employees regarding payroll procedures and HR processes.
- Coordinate with departmental heads and employees to resolve payroll and HR operational issues.
- Ensure a high level of employee service and responsiveness.
HR MIS & Reporting
- Prepare and maintain HR MIS reports and payroll reports.
- Prepare urgent reports and management information as required from time to time.
- Maintain accuracy and confidentiality of HR and payroll data.
Educational Qualification
- Graduate in Commerce, Accounting, Finance, Human Resources, Business Administration, or any related education from a recognized institution.
- Proficiency in MS Excel, payroll software, and HRMS systems is essential.
Experience
- Minimum 3–5 years of experience in Payroll Administration, HR Operations, Attendance Management.
- Experience in handling payroll for large organizations, clubs, hospitality establishments, service industries, or similar environments will be preferred.
- Knowledge of labour laws, payroll compliance, and statutory regulations is desirable.
