We’re looking for a Client Servicing & Project Management Associate who will become the primary point of contact for our clients while ensuring our studio and shoot operations run seamlessly. From handling enquiries and coordinating schedules to managing shoot logistics and post-shoot follow-ups, you'll play a key role in delivering a premium experience at every stage of the client journey.

KEY RESPONSIBILITIESWHAT YOU'LL OWNClient Relationships
- Being the primary point of contact for all clients across Memoirs, Productions, and Studio
- Managing communication with warmth, clarity, and consistency across every touchpoint—phone, WhatsApp, email, and in-person interactions
- Understanding each client's expectations and ensuring they are met at every stage of their journey
- Guiding clients from initial enquiry through booking, planning, execution, delivery, and post-project follow-up
- Building trust by anticipating client needs before they need to ask
- Turning first-time clients into long-term relationships through the quality of their experience
- Handling concerns, revisions, and difficult conversations with professionalism and empathy
- Collecting client feedback and identifying opportunities to improve the overall experience
Business Development Support
- Handling inbound enquiries and guiding prospective clients from interest to confirmation
- Understanding client requirements and recommending suitable services across our three verticals
- Working closely with the founders to prepare proposals, quotations, and customized client presentations
- Following up consistently on enquiries and maintaining visibility over the sales pipeline
- Coordinating discovery meetings, consultations, and client appointments
- Maintaining accurate records of leads, conversions, and future opportunities
Project Ownership
- Owning every active client project from confirmation until successful delivery
- Tracking the status of every project across Memoirs, Productions, and Studio
- Creating project timelines and ensuring every milestone is met
- Coordinating internally with photographers, cinematographers, editors, designers, production teams, and freelancers
- Ensuring deliverables reach clients on time, in full, and without the client having to ask
- Managing revision cycles, approvals, and feedback loops efficiently
- Identifying risks before they become problems and proactively resolving them
- Maintaining complete visibility over project progress for both clients and the internal team
Financial Coordination
- Staying on top of payment schedules and following up with clients professionally
- Coordinating invoices in alignment with project milestones
- Maintaining accurate records of payments received, pending invoices, and outstanding balances
- Working with the accounts team to ensure financial documentation remains accurate and up to date
- Ensuring projects move forward only after required commercial milestones have been completed
Production Coordination
- Coordinating all logistics around shoots—including scheduling, briefing, call times, vendors, permissions, and day-of communication
- Ensuring every team member has everything they need before production begins
- Preparing shoot briefs and ensuring internal alignment before every assignment
- Coordinating with photographers, filmmakers, editors, makeup artists, stylists, assistants, and external vendors
- Managing communication between clients and the creative team throughout production
- Monitoring shoot execution and ensuring timelines remain on track
Studio Management & Coordination
- Owning the studio calendar across portrait, maternity, family, commercial, and internal shoots
- Scheduling studio and outdoor shoots while balancing team availability, equipment, and client preferences
- Ensuring the studio is always organised, clean, functional, and client-ready
- Preparing the studio before every shoot, including equipment, props, refreshments, ambience, and client requirements
- Managing studio inventory including equipment, props, consumables, and maintenance schedules
- Coordinating vendors, stylists, makeup artists, assistants, and external partners required for studio sessions
- Monitoring studio utilisation and identifying opportunities to improve scheduling efficiency
- Supporting the founders and creative team with operational coordination during high-volume shoot periods
- Maintaining the overall presentation of the studio as a premium client experience space
Systems, Documentation & AI Enablement
- Maintaining organised client databases, project trackers, SOPs, and operational documentation
- Ensuring every enquiry, booking, payment, timeline, and deliverable is accurately documented
- Managing Airtable and other operational systems to maintain complete visibility across active projects
- Building dashboards and trackers that help monitor project progress, studio utilisation, client status, and operational performance
- Using AI tools to improve communication, documentation, meeting summaries, proposal creation, and workflow efficiency
- Automating repetitive administrative tasks wherever possible to improve team productivity
- Identifying operational bottlenecks and recommending improvements that make both clients and internal teams more efficient
- Creating scalable systems that support Framed's long-term growth without compromising quality or client experience
Studio & Office
- Maintaining the overall functioning, cleanliness, and presentation of our workspace
- Ensuring meeting spaces, client areas, and common workspaces remain organised and welcoming
- Coordinating day-to-day office requirements so the creative team can focus on their work
- Supporting founders with operational requirements related to studio and office management
- Continuously improving internal systems that contribute to a more organised, efficient, and collaborative workplace

- Basic understanding of photography, videography, or creative production workflows is preferred.

- Have worked in photography, media, advertising, or creative industries.
