We are a manufacturing business based in Madurai with active international export operations. We are looking for an experienced Export Documentation & Billing Executive to manage the complete documentation cycle for our export shipments — from order confirmation to post-shipment compliance.
This role sits within the accounts and operations team, working under the Chief Accounts Manager. The primary focus is export documentation and billing accuracy. Basic accounts data entry in Zoho Books is also part of the daily responsibilities.
KEY RESPONSIBILITIES
Export Documentation:
- Prepare and process all export documents — commercial invoice, packing list, bill of lading, certificate of origin, and shipping bill
- Coordinate with CHA (Customs House Agent) for customs clearance and shipping bill filing
- Liaise with freight forwarders on booking, container stuffing, and shipment scheduling
- Prepare LC (Letter of Credit) documents accurately and ensure compliance with LC terms
- Handle bank negotiation documentation for LC and DA/DP transactions
- Apply for and track export incentives — RoDTEP, drawback claims
- Coordinate with DGFT for IEC-related matters and any export licence requirements
- Maintain shipment-wise documentation file — physical and digital
Export Billing:
- Raise export invoices in correct foreign currency with accurate HS codes and GST treatment
- Ensure zero-rated GST invoicing compliance for exports
- Prepare and submit LUT (Letter of Undertaking) annually with GST department
- Track and follow up on foreign inward remittances and FIRC (Foreign Inward Remittance Certificate)
- Reconcile export proceeds received against invoices raised
Basic Accounts Support:
- Daily data entry of export transactions in Zoho Books
- Maintain export sales ledger and debtor outstanding tracker
- Coordinate with accounts team on GST returns related to export — GSTR-1 export entries and GSTR-3B refund claims
Reporting:
- Maintain shipment tracker — order, invoice, shipment date, BL number, payment status
- Weekly export status report to management — shipments dispatched, pending documentation, outstanding payments
REQUIREMENTS
Mandatory:
- 2–6 years of hands-on export documentation experience — international shipments only
- Strong working knowledge of LC documentation, bill of lading, and customs procedures
- Practical experience with RoDTEP, drawback, and LUT filing
- Familiarity with DGFT portal and IEC-related processes
- Zero-rated GST export invoicing and GSTR-1 export entries
- Professional written English — export correspondence with overseas buyers and banks
- Tamil fluency for internal coordination
- MS Excel or Google Sheets — confident user
Nice to Have:
- Experience with Zoho Books or similar accounting software
- Prior experience in a manufacturing export firm
- Knowledge of ECGC (Export Credit Guarantee) procedures
- Familiarity with Authorised Dealer bank processes for foreign remittances
