Role Summary
We are looking for a hands-on HR Manager – HR & Administration to independently manage HR, administration, travel & logistics, facilities, recruitment and employee operations. The role will have significant responsibility for international travel, visa coordination, overseas workforce mobilisation and project-site coordination, while supporting the Director/Management in people and administrative matters.
Key Responsibilities
1. Administration & Facilities – Primary Responsibility
* Independently manage day-to-day HR & office administration and workplace operations.
* Manage housekeeping, security, pantry, pest control, maintenance, office supplies and facilities.
* Coordinate IT, AC, electrical, plumbing, printer and other infrastructure requirements.
* Manage vendors, AMCs, service providers, building management and administrative expenses.
* Maintain vendor, contract, inventory and administrative records and ensure timely resolution of issues.
2. Travel, Visa & Overseas Workforce Mobilisation – Key Responsibility
* Manage end-to-end domestic and international travel for employees, management and project teams.
* Coordinate flight, hotel, transportation, travel insurance and other logistics.
* Handle visa applications, invitation letters, travel documentation and related formalities.
* Coordinate overseas workforce mobilisation for project sites, including travel and documentation.
* Coordinate employee deployment and logistics for domestic and international project sites.
* Liaise with travel agencies, visa consultants and other external service providers.
* Maintain travel, visa and related expense records.
3. HR Operations & Payroll
* Manage employee lifecycle including joining, onboarding, documentation and exit formalities.
* Maintain employee records, attendance and leave management.
* Coordinate monthly payroll inputs and ensure accuracy.
* Handle employee queries, grievances and HR letters including appointment, confirmation, increment, experience and relieving letters.
* Support performance appraisal and employee evaluation processes.
4. Recruitment & Talent Acquisition
* Manage the complete recruitment cycle from manpower requirement to onboarding.
* Source, screen and shortlist candidates through job portals, referrals and other channels.
* Conduct initial HR interviews and coordinate departmental/technical interviews.
* Manage offer discussions, salary negotiations, joining formalities and recruitment trackers.
* Ensure timely closure of vacancies.
5. Policies, Compliance & Employee Relations
* Draft, implement and communicate HR policies and procedures.
* Handle employee grievances, disciplinary matters and employee relations.
* Coordinate statutory HR compliance and external consultants/agencies.
* Support implementation of POSH, leave, travel, reimbursement and employee conduct policies.
6. Training & Employee Engagement
* Identify training requirements and coordinate training programmes.
* Prepare training material/PPTs based on SOPs and processes.
* Maintain training records and support employee engagement and workplace initiatives.
* Promote a professional, disciplined and positive work environment.
7. MIS, Reporting & Management Support
* Prepare HR and administrative MIS, reports and trackers using MS Excel.
* Maintain recruitment, attendance, leave, training, vendor and employee records.
* Analyse HR data and provide relevant inputs to Management.
* Act as a key support to the Director/MD in administration and people management.
* Handle confidential information and special projects as required.
Required Skills
* Strong knowledge of HR Operations & Administration.
* Strong travel, visa, logistics and overseas workforce coordination experience.
* Experience in facilities, vendor and office management.
* Good recruitment, employee relations, payroll coordination and compliance knowledge.
* Strong communication, coordination, follow-up and problem-solving skills.
* Good working knowledge of MS Excel, Word and PowerPoint.
* Ability to work independently, manage multiple priorities and handle confidential information.
* Proactive, hands-on and solution-oriented approach.
Qualification
Bachelor’s degree in any discipline. HR / Personnel Management / Business Administration qualification will be an advantage.
