Position: Human Resource Executive – HR Audit

Job Summary
The HR Executive – HR Audit will be responsible for auditing and ensuring accuracy, compliance, and completeness of employee records, attendance, payroll inputs, statutory compliances, and HR documentation across all sites and offices of the organization. The role involves regular verification of salary processing, attendance records, PF & ESIC compliance, labor law adherence, and preparation of audit reports for management review.
Key Responsibilities
1. Salary & Payroll Audit
- Verify monthly payroll data, salary sheets, wage registers, and payroll calculations.
- Audit attendance, overtime, leave records, and salary deductions.
- Ensure accuracy of statutory deductions such as PF, ESIC, Professional Tax (where applicable), and TDS.
- Identify payroll discrepancies and recommend corrective actions.
- Reconcile payroll records with attendance and manpower deployment reports.
2. Attendance & Manpower Audit
- Audit attendance records received from various client sites.
- Verify biometric attendance, muster rolls, shift rosters, and overtime records.
- Ensure attendance data is accurately reflected in payroll processing.
- Conduct periodic manpower audits to verify deployed workforce against approved manpower strength.
- Report absenteeism, ghost employees, and attendance irregularities.
3. PF & ESIC Compliance Audit
- Verify PF and ESIC registrations of eligible employees.
- Audit monthly PF and ESIC contributions and challans.
- Ensure timely filing of PF and ESIC returns.
- Verify UAN generation, KYC updates, nominations, and employee records.
- Coordinate with HR and Accounts teams to resolve statutory compliance issues.
- Maintain records for inspections by government authorities.
4. HR Compliance & Documentation Audit
- Audit employee files for appointment letters, joining documents, KYC, educational certificates, and statutory forms.
- Ensure compliance with labour laws applicable to the facility management industry.
- Verify maintenance of statutory registers and records.
- Check validity of contractor licenses, labour licenses, and other compliance documents where applicable.
- Ensure proper maintenance of employee records as per company policies.
5. Reporting & MIS
- Prepare monthly HR Audit Reports and Compliance Status Reports.
- Develop and maintain HR audit checklists and compliance trackers.
- Highlight compliance gaps, risks, and corrective action requirements.
- Present audit findings to management and recommend process improvements.
- Maintain HR MIS related to payroll, attendance, PF, ESIC, and statutory compliance.
6. Coordination & Support
- Coordinate with Site HR, Operations, Payroll, and Accounts teams.
- Support internal and external audits.
- Assist in implementation of HR policies and compliance initiatives.
- Provide guidance on statutory compliance requirements.
Required Qualifications
- Graduate in Human Resources, Commerce, Business Administration, or related field.
- MBA/PGDM in HR preferred.
- Certification in Labour Laws, Payroll, or Compliance will be an added advantage.
Experience
- 2–5 years of experience in HR Operations, Payroll, Compliance, or HR Audit.
- Experience in Facility Management, Security Services, Housekeeping, Staffing, or Contract Labour industry preferred.
Required Skills
- Knowledge of Payroll Processing and Salary Audits.
- Strong understanding of PF, ESIC, Labour Laws, and Statutory Compliance.
- Proficiency in MS Excel (VLOOKUP, Pivot Tables, MIS Reporting).
- Experience with HRMS and Payroll Software.
- Analytical and auditing skills.
- Documentation and record management.
- Good communication and reporting skills.
Pay: ₹25,000.00 - ₹30,000.00 per month
