We are looking for a highly organized, detail-oriented, and dependable intern to work directly with the Director as a Junior Executive Assistant Intern. The selected candidate will help streamline company records, organize physical and digital documentation, maintain internal assets, and improve day-to-day efficiency for the Director and management team.

Key Responsibilities & Activities1. Digital Filing & Documentation Management
- Create and maintain a structured digital filing system for:
- Company documents
- Legal papers
- Vendor files
- Financial records
- HR documents
- Marketing materials
- Personal work folders of the Director
- Rename, categorize, and organize files systematically.
- Ensure easy retrieval of documents through proper folder structures.
- Maintain backups of important digital data.
2. Scanning & Record Digitization
- Scan physical documents and convert them into organized digital archives.
- Ensure scanned copies are:
- Properly labeled
- Clear and readable
- Stored in designated folders
- Help reduce dependency on paper-based records.
3. Computer, Phone & Device Organization
- Clean and organize data from:
- Office computers
- External drives
- Mobile phones
- Cloud storage
- Remove duplicate files, junk data, and unnecessary folders.
- Organize photos, PDFs, presentations, and business-related media.
- Assist in improving storage efficiency and workflow.
4. Marketing & Digital Asset Management
- Organize and maintain:
- Product photos
- Company brochures
- Videos
- Brand assets
- Presentations
- Trade show materials
- Social media content
- Create categorized folders for easy access by management and marketing teams.
- Help maintain a clean and professional digital media library.
5. Basic Photo & Video Editing (Mandatory Skill)
- Perform basic editing of:
- Product photos
- Office/event videos
- Marketing creatives
- Social media content
- Resize, crop, organize, and optimize visual assets.
- Create simple reels, presentations, and short edits when required.
- Maintain consistent naming and version management of edited files.
Basic knowledge of tools such as Canva, CapCut, Adobe Express, Photoshop, Premiere Pro, VN, or similar editing software is mandatory.
6. Executive Assistance Support
- Assist the Director with:
- Daily coordination tasks
- Follow-up reminders
- Data compilation
- Document retrieval
- Scheduling support
- Help reduce operational clutter and improve executive productivity.
7. Process Improvement
- Suggest and implement practical systems for:
- Better document flow
- Faster access to information
- Cleaner data management
- Improved office organization
- Maintain confidentiality of sensitive company information.
