Job Overview:
We are seeking a proactive and results-oriented Vendor Management Executive to manage and strengthen relationships with third-party vendors, freelancers, and influencers. This role plays a key part in ensuring cost-effective project execution while maintaining high standards of quality and timely delivery.
Key Responsibilities:
1. Vendor Coordination & Liaisoning- Act as the primary point of contact for vendors, freelancers, and influencers.- Coordinate with third-party vendors to finalize pricing, scope, and timelines for projects.- Negotiate and agree on payment terms in alignment with company policies.- Ensure timely communication, follow-ups, and issue resolution.
2. Cost Optimization- Identify, evaluate, and onboard new vendors offering competitive pricing and favourable commercial terms.- Drive cost-efficiency initiatives across projects without compromising on quality standards.- Continuously benchmark vendor pricing to ensure market competitiveness.
3. Relationship Management- Build and maintain strong, long-term relationships with vendors, freelancers, and influencers.- Foster a collaborative ecosystem that ensures reliability and repeat engagement.- Develop strategic partnerships to enhance service quality and delivery efficiency.
4. Operational Support- Maintain and update vendor databases, contracts, pricing agreements, and documentation.- Ensure vendor readiness and availability aligned with project timelines.- Support internal teams (creative, production, accounts) with seamless vendor coordination.
5. Communication & Reporting- Track and report vendor performance, cost efficiencies, and project outcomes.- Highlight potential risks, delays, or cost escalations to stakeholders proactively.- Ensure all vendor communications are professional, documented, and aligned with company standards.
Key Requirements:
-Minimum 2 years of experience in vendor management, procurement, or a similar role—preferably within a creative/media agency or production house.
- Demonstrated experience in vendor negotiations and cost management.
- Strong communication, negotiation, and interpersonal skills.
- Proficiency in MS Office & Zoho Procurement (Excel, Word, & Zoho proficiency).
- Excellent organizational, multitasking, and problem-solving abilities.
- Ability to work in a fast-paced, deadline-driven environment.
Preferred Skills:
- Experience working with influencers, production vendors, or media suppliers.
- Understanding of production workflows (shoots, post-production, digital campaigns).
- Familiarity with vendor contracts and basic commercial/legal terms.
