Job Summary
We are looking for a detail-oriented and proactive Junior Export Documentation Executive to support our export operations by preparing, verifying, and maintaining export documentation. The candidate will be responsible for ensuring timely processing of export-related documents, coordination with freight forwarders, shipping lines, customers, and internal teams to facilitate smooth export shipments.
Key ResponsibilitiesExport Documentation
- Prepare and verify export documents such as:
- Commercial Invoice
- Packing List
- Shipping Bill
- Bill of Lading
- Certificate of Origin
- Phytosanitary Certificates (where applicable)
- Insurance Documents
- Letter of Credit (LC) related documents
- Ensure accuracy and compliance with export regulations and customer requirements.
Shipment Coordination
- Coordinate with freight forwarders, CHA, shipping lines, and transporters.
- Track shipment schedules and vessel movements.
- Ensure timely submission of documents to all stakeholders.
Regulatory Compliance
- Maintain compliance with DGFT, Customs, APEDA, and other regulatory requirements.
- Assist in export incentive documentation and claims.
- Maintain proper records and filing of export documents.
Internal Coordination
- Coordinate with Sales, Logistics, Accounts, and Purchase departments.
- Follow up for pending documents and approvals.
- Update shipment status and documentation trackers.
Record Management
- Maintain digital and physical records of export transactions.
- Prepare MIS reports and shipment summaries as required.
Required Skills
- Good knowledge of export documentation procedures.
- Familiarity with shipping and logistics terminology.
- Working knowledge of Customs and DGFT procedures.
- Proficiency in MS Excel, Word, and Email communication.
- Strong attention to detail and documentation accuracy.
- Good coordination and follow-up skills.
Preferred Qualifications
- Graduate in Commerce, Business Administration, Logistics, International Business, or related field.
- Certification in Export-Import Management will be an added advantage.
