We are looking for a proactive and experienced Assistant Manager / Deputy Manager – HR to manage and strengthen HR operations at the ECR Office.
The role will be responsible for end-to-end HR operations, recruitment, employee engagement, performance management, HRMS, payroll coordination, statutory compliance, employee relations and HR process improvement. The incumbent will work closely with functional heads and management to ensure effective manpower planning, employee productivity and smooth implementation of HR policies and processes.
Key Responsibilities
1. HR Operations
- Manage day-to-day HR activities for the ECR Office.
- Maintain employee records, personal files, HR documentation and HR MIS.
- Ensure effective implementation of HR policies, procedures and systems.
- Handle employee onboarding, induction, confirmation, transfers, promotions and separation processes.
- Coordinate with departments for manpower planning and workforce requirements.
- Ensure timely completion of employee documentation and joining formalities.
- Monitor attendance, leave, permission, on-duty and other employee-related records.
- Support implementation and effective utilization of the HRMS.
2. Talent Acquisition & Recruitment
- Manage the complete recruitment cycle from manpower requisition to joining.
- Understand manpower requirements from department heads and prepare/update JDs.
- Source candidates through job portals, employee referrals, consultants, social media and other channels.
- Screen resumes and conduct preliminary HR interviews.
- Coordinate technical and management interviews.
- Negotiate compensation within approved salary structures.
- Prepare and release offer/appointment letters.
- Track offer acceptance, joining status and recruitment TAT.
- Maintain an active talent pipeline for critical positions.
- Develop recruitment MIS covering vacancies, interviews, selection, offers and joining.
3. Employee Relations & Engagement
- Act as a point of contact for employee-related concerns and grievances.
- Maintain positive employee relations and promote a professional workplace culture.
- Conduct employee interaction sessions and identify employee concerns.
- Support disciplinary procedures, counselling, warning letters and show-cause notices as required.
- Assist management in handling employee grievances and workplace issues.
- Coordinate employee engagement activities, celebrations and welfare initiatives.
- Support initiatives to improve employee retention and employee satisfaction.
4. Performance Management
- Coordinate the annual performance appraisal process.
- Support departments in KRA/KPI setting and performance review.
- Track probation confirmation and performance review timelines.
- Assist HODs in performance improvement plans and performance-related actions.
- Maintain appraisal records and prepare performance-related MIS.
- Support implementation of performance-linked compensation and incentive processes.
5. Payroll & HRMS Coordination
- Coordinate monthly payroll inputs with the payroll/finance team.
- Verify attendance, leave, overtime, incentives, deductions and other payroll inputs.
- Ensure timely submission and validation of payroll data.
- Coordinate employee salary-related queries.
- Monitor HRMS transactions relating to attendance, leave, permissions, OT, payslips and employee records.
- Identify HRMS issues and coordinate with IT/vendor teams for resolution.
- Generate and maintain monthly HR reports and MIS.
6. Statutory Compliance
- Ensure compliance with applicable labour and employment laws.
- Coordinate PF, ESI, Professional Tax, Labour Welfare Fund and other applicable statutory requirements.
- Maintain statutory records, registers and documentation as applicable.
- Coordinate with statutory consultants and government authorities whenever required.
- Support internal, statutory and external audits.
- Monitor statutory compliance of contractors/service providers where applicable.
7. Learning & Development
- Identify training and development requirements in coordination with HODs.
- Prepare annual/monthly training plans.
- Coordinate internal and external training programmes.
- Maintain training records and evaluate training effectiveness.
- Support skill development and competency-building initiatives.
8. HR Policies & Process Improvement
- Develop, review and implement HR policies and SOPs.
- Identify gaps in existing HR processes and recommend improvements.
- Standardize HR documentation and workflows.
- Support HR digitization and automation initiatives.
- Prepare HR dashboards and management reports covering manpower, recruitment, attendance, attrition, payroll and employee-related metrics.
9. Employee Welfare & Administration Coordination
- Coordinate employee welfare initiatives at the ECR Office.
- Support facilities, employee amenities and workplace-related HR requirements.
- Coordinate with Administration for employee-related requirements.
- Ensure effective communication of company policies, circulars and management decisions.
10. Management Support
- Prepare periodic HR MIS and reports for management review.
- Provide HR analytics and insights to support management decisions.
- Work closely with HODs and business leaders on manpower and employee-related matters.
- Support organizational restructuring, manpower optimization and HR projects.
- Maintain confidentiality of employee and company information.
- Undertake additional HR responsibilities/projects assigned by management.
Pay: ₹40,000.00 - ₹55,000.00 per month
