Role Description:
We are looking for a highly organized and empathetic Operations Executive who will also
manage front desk responsibilities at our clinic. This role is critical in ensuring smooth day-
to-day operations, delivering a seamless patient experience, and supporting clinical teams with coordination and administrative efficiency.
Key Responsibilities:
1. Front Desk & Patient Experience
- Manage patient walk-ins, registrations, and appointment scheduling
- Act as the first point of contact for parents and caregivers
- Handle calls, WhatsApp queries, and in-person interactions
- Create a warm, empathetic, and structured experience for families
- Maintain accurate patient records and documentation
2. Clinic Operations Management
- Oversee daily clinic operations and ensure smooth workflow
- Coordinate between doctors, therapists, and support staff
- Ensure clinic readiness (hygiene, materials, forms, etc.)
3. Retention & Renewals (Core Responsibility)
- Track each patient’s journey from onboarding to program completion
- Proactively engage with parents to ensure continuity of therapy
- Drive timely renewals of therapy programs/packages
- Identify drop-off risks and take corrective actions (follow-ups, feedback collection)
- Maintain a structured renewal pipeline and daily follow-up tracker
- Coordinate with doctors/therapists to communicate progress effectively to parents
- Handle objections or concerns from parents regarding continuation
4. Patient Coordination & Follow-ups
- Ensure patients attend scheduled sessions regularly
- Follow up on missed appointments and reschedule promptly
- Guide parents through assessments, therapy plans, and next steps
- Ensure smooth onboarding of new patients
5. Data & Reporting
- Maintain daily trackers for appointments, retention, and renewals
- Track key metrics: attendance, drop-offs, renewal rates
- Maintain updated patient records and case documentation
- Share periodic reports with management
6. Support to Clinical Team
- Ensure all documentation is ready before consultations
- Coordinate schedules for assessments and follow-ups
- Facilitate communication between parents and clinical staff
7. Administrative Responsibilities
- Manage billing, invoices, and payment tracking
- Handle inventory and basic vendor coordination
- Ensure adherence to clinic processes and protocols
Job Specifications:
Required Skills & Qualifications
- Graduate in any field
- 1–4 years of experience in operations, front desk, customer success, or sales/retention
roles
- Strong communication and persuasion skills
- High empathy and ability to handle sensitive parent interactions
- Strong follow-up discipline and ownership mindset
- Basic knowledge of Excel/Google Sheets/CRM tools
Preferred Experience
- Healthcare, wellness, therapy centers, or clinic operations
- Experience in customer retention, renewals, or inside sales
