Job Summary
The Receptionist will primarily handle inbound and outbound telecalling activities such as appointment confirmations, follow-ups, reminders, lead conversion, and patient communication. The role also includes standard reception duties like greeting patients, managing front desk coordination, and scheduling appointments. Telecalling is the main focus of this position.
Primary Responsibilities (Telecalling)
- Make outbound calls for:
- Appointment confirmations
- Post-treatment follow-ups
- Reminder calls for upcoming visits
- Lead conversion and new patient inquiries
- Respond to all incoming calls professionally and provide accurate information about clinic services, treatments, timings, and pricing.
- Follow up on WhatsApp and online inquiries, converting them into appointments.
- Maintain accurate call logs, lead details, and follow-up records.
- Track appointment conversion rates and follow-up schedules.
- Coordinate with the marketing team to support lead generation and patient acquisition efforts.
Secondary Responsibilities (Reception)
- Greet patients and visitors at the reception area with professionalism.
- Schedule, reschedule, and manage patient appointments.
- Maintain patient records, appointment logs, and front desk documents.
- Assist patients with basic queries about treatments, procedures, and clinic policies.
- Coordinate with doctors, therapists, and clinical staff for smooth patient flow.
- Collect feedback and support patient satisfaction efforts.
- Keep the reception area clean, organized, and welcoming.
Key Skills Required
- Strong verbal communication with a pleasant phone voice.
- Excellent telecalling and follow-up skills.
- Ability to convert leads and handle patient inquiries confidently.
- Good computer skills (MS Office, Google Sheets, WhatsApp Business).
- Customer service mindset and patient handling ability.
- Multilingual communication preferred: English, Hindi, and Bengali.
- Prior experience in telecalling, clinic reception, or customer service is preferred.
Educational Qualification
- Minimum 12th pass.
- Graduate preferred.
Experience
- 0–2 years in telecalling, reception, front desk, or customer service.
- Experience in a clinic, hospital, or aesthetic center is advantageous.
