Job Summary
The Girls Hostel Warden shall be responsible for the overall administration, discipline, safety, security, welfare, and smooth functioning of the Girls Hostel. The Warden shall ensure a safe, healthy, disciplined, and student-friendly residential environment while maintaining the highest standards of conduct, hygiene, and hospitality in accordance with the policies of KC Group of Institutions.

Key Responsibilities1. Hostel Administration
- Manage the day-to-day operations of the Girls Hostel.
- Supervise room allotment, shifting, and vacation of hostel rooms.
- Maintain updated records of hostel residents.
- Ensure proper implementation of hostel rules and regulations.
- Maintain hostel registers, occupancy records, leave records, and visitor records.
2. Student Welfare
- Ensure the safety, security, and well-being of all hostel residents.
- Counsel students on personal, academic, and behavioural issues whenever required.
- Address grievances promptly and maintain a cordial relationship with students and parents.
- Promote a healthy, disciplined, and positive hostel environment.
3. Discipline & Conduct
- Maintain discipline within the hostel premises.
- Conduct regular inspections of rooms and common areas.
- Prevent ragging, bullying, substance abuse, and any unlawful activities.
- Report cases of indiscipline or misconduct immediately to the competent authority.
4. Security Management
- Ensure strict adherence to hostel entry and exit timings.
- Verify visitors and maintain visitor records.
- Coordinate with security personnel for effective surveillance.
- Monitor emergency preparedness, including fire safety and evacuation procedures.
5. Housekeeping & Maintenance
- Supervise housekeeping staff and ensure cleanliness of rooms, corridors, washrooms, dining areas, and common spaces.
- Report maintenance issues related to electrical, plumbing, furniture, sanitation, and infrastructure.
- Ensure timely resolution of maintenance complaints.
6. Mess & Food Quality
- Monitor hygiene, cleanliness, and quality of food served in the hostel mess.
- Coordinate with catering staff for proper meal planning and service.
- Address food-related complaints promptly.
7. Health & Emergency Care
- Maintain records of students requiring medical attention.
- Arrange immediate medical assistance during emergencies.
- Inform parents and institutional authorities whenever necessary.
- Coordinate with nearby hospitals and healthcare providers.
8. Parent & Student Communication
- Maintain effective communication with parents regarding student welfare whenever required.
- Handle student and parent enquiries professionally.
- Facilitate hostel orientation for newly admitted students.
9. Record Keeping & Documentation
Maintain accurate records including:
- Hostel admission and occupancy records
- Attendance registers
- Leave and outing registers
- Visitor registers
- Complaint and grievance registers
- Maintenance registers
- Inventory and asset registers
- Incident reports
10. Coordination
- Coordinate with the Campus Director, CEO, HR Department, Security Department, Housekeeping, Transport, Maintenance, and other administrative departments for smooth hostel operations.
- Assist during admissions, inspections, accreditation visits, and institutional events.
General Responsibilities
- Remain available in the hostel during assigned duty hours.
- Ensure compliance with institutional policies and statutory regulations.
- Maintain confidentiality of student information.
- Perform any other duties assigned by the Competent Authority from time to time.
Desired Qualifications
- Graduate in any discipline from a recognized University.
- Preference shall be given to candidates with experience in hostel administration, student affairs, counselling, or educational institutions.
- Basic computer proficiency (MS Office, Email, Internet).
