What would you do? Role: Independently manages medium-sized sales opportunities and supports more complex bids alongside senior Proposal Managers. This role takes ownership of the full RFx response process — from strategy kickoff through to submission — while collaborating closely with deal teams, subject matter experts, content teams, and support resources. The Specialist is the primary point of accountability for proposal quality, compliance, and on-time delivery on assigned bids. You are a strong collaborator with a sharp eye for quality and a working knowledge of the RFx lifecycle. You understand how each proposal puzzle piece fits together, coordinate people and processes with confidence, and take ownership of outcomes. You bring structure to ambiguity and keep teams aligned under pressure.
What are we looking for? Core Requirements: • Bachelor’s degree required • Minimum of 4 years’ experience in proposal management, supporting pre-sales activities through proposal development and RFx responses • Solid understanding of RFx processes and proposal management within an IT or professional services environment • Demonstrated experience managing proposal responses from initiation through submission, ensuring quality, compliance, and timely delivery • Experience working with writers, graphic designers, and subject matter experts to develop clear, client-ready proposal content • Ability to guide junior team members and lead small proposal teams on selected opportunities • Strong command of the English language, both written and verbal, at a professional business standard • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) for proposal development and documentation • Proven ability to manage multiple stakeholders, competing priorities, and deadlines in a fast-paced environment • Industry experience in IT, professional services, or a related field is preferred. Preferred Qualifications: • MBA or postgraduate qualification in Business, Communications, or a related field • Minimum of 4 years’ experience in proposal management within the sales pursuit lifecycle, including RFx requirement analysis, cross-functional coordination, and end-to-end proposal response delivery through submission • Strong experience in business writing and proposal content development, with the ability to produce clear, consistent, and client-ready deliverables aligned to proposal objectives • Proven ability to manage and integrate proposal content across multiple contributors including writers, graphic designers, and subject matter experts ensuring alignment, quality, and a cohesive one-voice narrative • At least 1 year of experience leading small proposal teams, guiding junior team members, and coordinating cross-functional contributors to deliver high-quality proposal outputs on selected opportunities. • Strong command of the English language, both written and verbal, at a professional business standard • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook) for proposal development, reporting, and presentations
Roles and Responsibilities: •- Preferred Qualifications (continued): • Working knowledge of collaboration platforms such as SharePoint, Microsoft Teams, or similar tools for document management and team coordination • Working knowledge of AI-enabled productivity and content support tools used in proposal development, with the ability to apply them to enhance the efficiency, quality, and consistency of proposal deliverables • Strong attention to detail, with the ability to manage multiple stakeholders, priorities, and deadlines in a fast-paced, deadline-driven environment • Demonstrates a proactive and collaborative mindset, with openness to contributing to the company’s overall success • Able to work effectively in a virtual or distributed team, collaborating with stakeholders across locations and time zones Key Competencies: • Problem Solving • AI-Enabled Content Development • Stakeholder Coordination • Cross-team Collaboration • Schedule & • Risk Management • Quality & Compliance - Roles & Responsibilities: RFx Lifecycle Management • Lead full RFx response management on medium-complexity opportunities from kickoff to submission • Create and manage detailed proposal schedules including milestone reviews, production timelines, and delivery dates • Facilitate proposal strategy sessions with deal leadership to align on win themes, discriminators, and response approach • Ensure RFx compliance: analyse requirements, build compliance matrices, and track completion across all sections • Prepare and distribute review drafts; address reviewer comments and facilitate review cycles (Pink/Red Team) Content Development • Develop and customise compelling, client-specific proposal narratives in collaboration with Subject Matter Experts • Source, adapt, and curate reusable content from Content Management repositories • Collaborate with Graphic Designers and Proposal Writers to produce visually compelling response documents • Oversee deliverables for pre-RFx activities, orals preparation, BAFO, site visits, and client workshops Team & Stakeholder Coordination • Manage day-to-day proposal team activities: assign sections, set deadlines, track contributions, and resolve blockers • Coordinate Graphic Designers, Proposal Writers, and deal team Authors across geographically dispersed teams • Participate in deal team meetings with sales leadership; provide structured status updates and flag risks • Facilitate digital collaboration tools and maintain organized proposal workspaces (SharePoint, Teams, portals)
