Position Summary
The Front Desk Manager is responsible for managing the entire patient reception and front office operations of the hospital. The role ensures a seamless, professional, compassionate, and efficient patient experience from the moment a patient enters the hospital until registration, billing coordination, admission, and appropriate guidance are completed.
The Front Desk Manager leads the reception team, establishes service standards, ensures accuracy in patient registration, minimizes waiting time, coordinates with all clinical and non-clinical departments, and maintains the hospital's first impression.
As the face of Hopewell Hospital, this position plays a vital role in patient satisfaction, reputation management, and operational efficiency.
Key ResponsibilitiesPatient Experience
- Ensure every patient and visitor receives a warm, courteous, and professional welcome.
- Maintain excellent hospitality standards at all reception counters.
- Ensure patients are guided correctly to OPD, diagnostics, emergency, pharmacy, IPD, billing, or other departments.
- Handle VIP patients with confidentiality and professionalism.
- Resolve patient concerns before they escalate into complaints.
- Maintain high patient satisfaction scores.
Front Office Operations
- Supervise all reception executives across shifts.
- Ensure uninterrupted 24×7 front office operations.
- Manage registration counters efficiently.
- Monitor patient waiting time.
- Ensure queue management is followed.
- Allocate counters during peak hours.
- Maintain adequate staffing throughout all shifts.
Registration & Documentation
Ensure accuracy of:

Maintain complete confidentiality of patient information.

- Inform patients regarding delays.
- Coordinate emergency walk-ins.
Admission Coordination
Coordinate admissions with:
- Billing
- Nursing
- Ward

- Housekeeping
Ensure admission process is completed quickly with minimal patient waiting.
Billing Coordination
Coordinate with billing department for:
- Registration charges
- Consultation billing
- Advance deposits
- Admission advances
- TPA eligibility
- Package verification
Ensure zero registration errors.
Communication Management
Monitor:
- Incoming calls
- Hospital helpline
- Internal communication
- Interdepartmental coordination
- Patient enquiries
- Appointment requests
Maintain professional telephone etiquette.
Complaint Management
Handle:

Required Qualifications
- Graduate in any discipline.
- MBA in Hospital Administration preferred.
- Degree/Diploma in Hospital Management will be an added advantage.
Experience
- 5–8 years in hospital front office operations.
- Minimum 2 years in a supervisory or managerial role.
- Experience in NABH-accredited hospitals preferred.
- Experience with HMIS and digital registration systems is essential.

Given that Hopewell is a new 70-bed cardiac and surgical excellence hospital, I recommend expanding this role beyond a traditional reception manager into a Front Office & Patient Experience Manager. This individual should own not only reception operations but also patient feedback, concierge services, VIP handling, discharge coordination, and service recovery. In a competitive market, the first and last interactions a patient has with the hospital often shape their overall perception more than the clinical care alone. This broader mandate will better support Hopewell's positioning as a premium patient-centric hospital.
Pay: ₹12,000.00 - ₹25,000.00 per month
