Key Responsibilities:Academics (classroom & Online)
Onboarding of students
Ensure that new students have registered in google form
Start of Academics
Coordinate with all centers for orientation for the new batch
Allocation of Batch and freezing the batch after 10 days of class start
Scheduling of classes. All batches should start on same day and end on same date across all centers
Allocation of Trainer
Enrollment letters are signed and uploaded in EIS. Original Enrollment letter to be handed over to Centre Head for filing
Student Assessments: ensuring that all parameters are met before student is allowed to sit for the exam
Certification
Curriculum Development
Coordinate with Industry experts to understand the requirements
Adjust the curriculum in order to cater to Industry requirements
Create time table / lesson plan and ensure execution of the same
Trainers
Staff Assessment
Arrange substitute trainers when needed
Ensure that Portions are covered as per the lesson plan
Resolve all issues of Trainers
Learning Materials (Books & LMS)
Forecasting of books requirements based on batch start
Coordination with vendors for printing of books
Distribution of books to various centers as per requirement
Issue of LMS as per eligibility and requirement
Disabling of LMS after course completion or for defaulters
Assessments
Ensure centralization of exams
Creation of Question bank for all courses
Proofreading question papers
Creating of Question papers from Question Bank
Quality check of Mark sheet and grades
Checking all parameters are met before allowing students to sit for the exam
Student Welfare:
resolve student issues
Ensure student happiness
Certification
Checking all parameters are met before sending students details for certificate
Sending certificates for printing
Quality check and proofreading of printed certificates
Organizing convocation ceremonies for each batch
Getting referrals from students after convocation ceremony
Support to Sales
Arrange for Demo classes to attesting candidates
Conduct Seminars
Clear doubts of the Telesales team
Keep the Sales department informed about the various updates,
Initiate Referral campaigns
Collection of student documents
Encourage students to post positive reviews on website
Support to Placements
Identify students eligible for placements
Schedule Soft skill classes
Schedule Mock interviews
Support to HR
Recruitment of Trainers
Projections of requirement of trainers
Appraisals of trainers
Suggesting trainers for PIP / rewards / recognition
Approval of Leaves / permissions for academic department
Support to Accounts
Ensure that students complete payments by the time the batch has been freezed
NOC from Account to continue academics after batch being freezed
Stop academics for defaulters
Get NOC from accounts before allowing student to appear for viva, write test / exam, attend interviews
Ensure timely updation in EIS with re to
Uploading of documents in EIS - to be handed over to the concerned person
Creation Questions for the question bank
Portions covered vs Lesson plan
Students status
Books issued
Archiving of students after certificate issued
Updation of attendance in EIS
Tally of physical attendance vs EIS attendance
All students are in EIS (Based on Attendance)
Branch transfer / batch transfer is reflected in EIS accurately
Quality
Visit all Centres and conduct audits
Conduct regular surveys for student feedback
Mentor / Train the trainer
Creation and implementation of training calendar
Create SOP for academics
New Initiatives: study market trends and suggest new courses
Vendor Management:
Maintain Vendor MIS for various services like Learning Material, LMS, Certificate printing, hologram printing
Maintain a register of reorder quantities for Learning material, holograms, OMR sheets
Reports
Check Batch start reports from each Center and create a summary for the management
ID card report
Soft SKill / interview preparation report
Report of students for whom books need to be ordered (based on fees / portions covered)
Report of all students who are eligible for exams (based on attendance / fees / enrollment letter signed / completion of concerned / full portion)
Report of all students who are eligible for placements (based on attendance / fees / enrollment letter signed / completion of academics or clearing the exams)
Check trainers reports and create summary / dashboards for management
Check attendance reports
Marksheet reports
