Store In-Charge
Job Summary
We are looking for a responsible and organised Store In-Charge to manage the day-to-day operations of the school store. The candidate will be responsible for receiving, storing, issuing, and maintaining records of stationery, housekeeping materials, maintenance items, uniforms, consumables, and other institutional supplies. The role requires good inventory management skills, accuracy, accountability, and coordination with different departments.
Key Responsibilities
- Manage the overall day-to-day functioning of the school store.
- Receive and verify materials supplied by vendors against purchase orders, invoices, and delivery documents.
- Inspect items for quantity, quality, and condition before acceptance.
- Properly store and organise materials to ensure easy identification and access.
- Maintain accurate stock registers, inventory records, and issue/receipt records.
- Issue materials to authorised staff and departments against approved requisitions.
- Monitor stock levels and prepare timely requests for replenishment.
- Conduct regular physical stock verification and reconcile discrepancies.
- Ensure proper handling, storage, and preservation of materials to minimise damage or wastage.
- Maintain records of damaged, expired, obsolete, or excess stock and report the same to management.
- Coordinate with the Accounts, Administration, Maintenance, Housekeeping, and other departments regarding material requirements.
- Coordinate with vendors for deliveries, replacements, shortages, and other supply-related matters.
- Ensure the store premises are clean, secure, and properly maintained.
- Follow institutional procedures related to procurement, inventory control, and material issuance.
- Prepare periodic stock reports and provide updates to management as required.
- Ensure compliance with safety and security procedures within the store.
- Perform other store-related duties assigned by the management.
Requirements
- Bachelor's degree or Diploma in Store Management, Supply Chain Management, Commerce, Business Administration, or a related field preferred.
- 2–5 years of experience in store management, inventory control, warehouse operations, or a similar role.
- Experience in a school, college, hospital, corporate office, or other institutional environment will be an advantage.
- Good knowledge of inventory management and stock control procedures.
- Basic computer skills, including MS Excel and MS Office.
- Good record-keeping and documentation skills.
- Strong organisational and communication skills.
- Ability to maintain accuracy and confidentiality.
- Ability to work independently and coordinate effectively with different departments.
