The Accounts & Inventory Manager will be responsible for managing accounting activities along with the complete inventory and procurement cycle for school-related items. The role will oversee stock management of books, stationery, uniforms, educational materials, and other school supplies, including annual planning, procurement, vendor coordination, distribution, and reconciliation.
Key Responsibilities
- Manage day-to-day accounting activities related to purchases, expenses, vendors, and school inventory.
- Maintain accurate records of school books, stationery, uniforms, educational materials, and other inventory items.
- Plan and monitor inventory requirements for the annual academic session and distribution cycle.
- Coordinate procurement and timely availability of books and other school items before the commencement of the academic year.
- Manage the complete book management and distribution process, including stock receipt, storage, allocation, distribution, and balance stock.
- Maintain school-wise and class-wise stock records and ensure proper reconciliation.
- Monitor stock movement between central stores and individual school branches.
- Conduct regular physical stock verification and reconcile discrepancies with system records.
- Manage vendor identification, coordination, quotations, negotiations, purchase orders, and follow-ups for school-related items.
- Coordinate with publishers, book suppliers, stationery vendors, uniform suppliers, and other school-item vendors.
- Monitor vendor performance, pricing, delivery schedules, quality, and payment documentation.
- Prepare inventory, purchase, consumption, distribution, and vendor-related MIS reports for management.
- Track slow-moving, excess, damaged, or obsolete stock and recommend appropriate action.
- Ensure proper documentation of GRNs, invoices, stock transfers, purchase orders, and distribution records.
- Coordinate with Accounts for vendor reconciliation, invoice verification, payments, and outstanding balances.
- Support annual stock audits and financial audits related to inventory and procurement.
- Ensure proper internal controls and compliance with organizational procurement and inventory policies.
Qualifications
- Bachelor's degree in Commerce, Accounting, Finance, Supply Chain, Inventory Management, or a related field.
- Strong knowledge of accounting, inventory control, procurement, and vendor management.
- Good working knowledge of MS Excel and ERP/accounting software.
- Strong analytical, reconciliation, negotiation, coordination, and organizational skills.
Experience
- 5–8 years of relevant experience in Accounts, Inventory, Procurement, Stores, or Administration.
- Experience in school/education sector inventory management will be preferred.
- Hands-on experience in school book management and annual distribution is highly desirable.
- Experience managing stationery, uniforms, educational materials, and other school supplies will be an advantage.
- Prior experience in vendor management, procurement, stock reconciliation, and multi-school inventory management will be preferred.
Pay: ₹45,000.00 - ₹60,000.00 per month
