Job Description – Project Coordinator IFM Projects
We are seeking a proactive and organized Project Coordinator to support the planning, coordination, and execution of projects across the site. The role will be responsible for coordinating project activities, managing permit requirements, ensuring compliance with site HSSE standards, and supporting project teams to execute work safely and efficiently. The successful candidate shall possess strong communication and organizational skills, basic computer proficiency, and the ability to coordinate with multiple stakeholders in a dynamic work environment.
Responsibilities Specific to the Role
Duties & Responsibilities
Coordinate site project activities and ensure timely execution of assigned work scopes.
Liaise with project teams, contractors, operations, maintenance, and HSSE personnel to facilitate project execution.
Involve in the planning phase of the project to give inputs on deployment, material requirement, design safety aspect etc.
Raise and manage Permit to Work (PTW) requests for project-related activities.
Ensure all required risk assessments, method statements, and supporting documentation are completed before work commencement.
Coordinate permit approvals with relevant stakeholders and authorities.
Act as Permit Requester and/or Permit Holder as authorized by site requirements.
Conduct toolbox talks and communicates project-specific hazards and control measures to work teams.
Verify compliance with permit conditions, site safety procedures, and regulatory requirements.
Monitor contractor activities and ensure adherence to HSSE standards.
Maintain records of permits, project updates, safety observations and closure status, and work completion status.
Participate in site inspections, audits, and safety reviews.
Coordinate corrective actions arising from audits, inspections, incident investigations, and project reviews.
Support emergency response activities and ensure project teams are aware of emergency procedures.
Prepare periodic project progress reports and communicate project status to site management.
Promote continuous improvement and safe execution of all project activities.
80% on ground support and 20% desk activity (documentation)
Qualifications
Diploma or Bachelor's Degree in Engineering, Project Management, Industrial Safety, or a related discipline.
Minimum 2–5 years of experience in project coordination, facilities management, maintenance, construction, or industrial operations.
Experience working within a Permit to Work (PTW) environment is preferred.
PTW Authorization/Training will be an added advantage.
Awareness, Knowledge and Skills
Ability to read, write, and communicate effectively in English.
Basic computer knowledge, including Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Knowledge of project coordination, planning, and progress tracking.
Understanding of Permit to Work systems and safe work practices.
Basic knowledge of HIRA/JSA, LOTO, Work at Height, Confined Space Entry, and Hot Work requirements.
Strong communication, stakeholder management, and coordination skills.
Ability to work independently and prioritize multiple tasks.
Good documentation and reporting skills.
Familiarity with electronic permit management systems.
Knowledge of E-Vision, Enablon, SAP, or similar software platforms will be an added advantage.
Fluency in English and Hindi; knowledge of local languages (Kannada) is desira
