About the Role
We are seeking a proactive and detail-oriented Admin Executive to manage the day-to-day administrative operations of our Chennai office. This role is pivotal in ensuring smooth office functioning across all departments by coordinating travel arrangements, vendor relationships, facility management, and employee support activities. The successful candidate will be an organized multitasker who thrives in a dynamic environment and can manage 50+ employees’ administrative needs while maintaining high standards of service quality.
Key Responsibilities
- Travel Coordination: Handle domestic and international travel bookings, accommodation arrangements, visa assistance, and expense tracking for employees and executives. Maintain relationships with travel vendors and negotiate favorable rates.
- Vendor Management: Coordinate with service providers (couriers, caterers, maintenance contractors, IT vendors). Ensure contract compliance, manage invoicing, and drive cost optimization across vendor relationships.
- Facility Management: Oversee guest house bookings, maintenance requests, office space utilization, and visitor support. Monitor canteen operations and cross-check daily services against requirements.
- Employee Support: Manage employee ID card issuance, documentation processing, uniform and asset management (crocs/shoes), and adherence to company policies.
- Conference & Meeting Coordination: Arrange conference rooms, coordinate meeting logistics (seating, refreshments, AV setup), and maintain meeting schedules.
- Document & Record Management: Maintain inward/outward courier records, office files, administrative documentation, and prepare reports as required for audits and management reviews.
- Stationery & Procurement: Monitor office supply stock levels, manage timely procurement and distribution of stationery and office materials, and maintain inventory records.
- General Administration: Support various office administration and facility-related activities; assist with employee engagement events and office activities.
Required Qualifications
- Education: Bachelor’s degree in any discipline
- Experience: Minimum 4 years of experience in administration, office management, or facility management in a corporate environment
- Technical Skills: Proficiency in MS Office (Excel, Word, Outlook); familiarity with office management tools/software
- Soft Skills: Excellent communication (written and verbal); strong organizational and multitasking abilities; vendor negotiation experience; attention to detail; problem-solving mindset
- Reliability: Ability to handle confidential information; punctuality and dependability
Pay: ₹25,000.00 - ₹30,000.00 per month
