We are looking for a proactive and detail-oriented Junior Accountant & Admin Executive to support our finance, administration, and HR functions while assisting the founders in day-to-day operations.
Job Summary
The Junior Accountant & Admin Executive will be responsible for maintaining day-to-day accounting records, managing purchases and expenses in Zoho Books, handling petty cash, coordinating administrative activities, supporting HR processes, and assisting the founders with operational and administrative tasks. The ideal candidate should be organized, dependable, and capable of managing multiple responsibilities in a fast-paced startup environment.
Key ResponsibilitiesAccounting & Finance
- Record all purchase invoices, vendor bills, and expenses accurately in Zoho Books.
- Maintain proper accounting records and supporting documentation.
- Manage day-to-day bookkeeping activities.
- Maintain and reconcile petty cash transactions.
- Assist in bank reconciliations and expense tracking.
- Coordinate with the Chartered Accountant for GST, TDS, and statutory compliance by providing required records and documents.
- Maintain vendor payment schedules and follow up on approvals.
- Prepare basic financial reports as required by management.
Administration
- Manage office administration and ensure smooth day-to-day operations.
- Coordinate with vendors, service providers, and office maintenance personnel.
- Maintain office supplies, inventory, and procurement records.
- Organize company documents and maintain digital and physical filing systems.
- Coordinate courier, logistics, and dispatch activities when required.
HR Support
- Assist in employee onboarding and documentation.
- Maintain employee records and HR documentation.
- Track attendance, leave records, and employee files.
- Coordinate recruitment scheduling and interview arrangements.
- Support implementation of company HR policies and administrative procedures.
Executive Assistance
- Assist the founders in day-to-day administrative and operational activities.
- Manage calendars, meetings, and travel arrangements.
- Coordinate hotel bookings, flight tickets, and travel itineraries.
- Prepare meeting notes, reports, and presentations when required.
- Handle professional email communication with customers, vendors, and internal teams.
- Follow up on action items and ensure timely completion of assigned tasks.
Required Skills
- Good knowledge of Zoho Books.
- Basic accounting and bookkeeping knowledge.
- Understanding of GST, invoices, purchase entries, and expense management.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint).
- Good computer skills and ability to work with cloud-based software.
- Professional email communication skills.
- Travel planning and coordination experience.
- Good documentation and record management skills.
- Strong organizational and multitasking abilities.
- Attention to detail and accuracy.
Preferred Qualifications
- Bachelor's Degree in Commerce (B.Com), Accounting, Finance, Business Administration, or a related field.
- 1–3 years of experience in accounting and administration.
- Experience working with Zoho Books or similar accounting software.
- Experience in HR administration will be an added advantage.
