Executive Assistant (EA) to Director*
Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and strategic support to the Director. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, preparing reports, and ensuring smooth communication across departments. This role requires excellent organizational, communication, and multitasking skills while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities
* Manage the Director's calendar, appointments, and daily schedule.
* Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
* Screen, prioritize, and respond to emails and correspondence on behalf of the Director.
* Prepare professional reports, presentations, business documents, and MIS reports.
* Coordinate with Sales, Marketing, HR, Finance, and Operations teams to ensure timely execution of assigned tasks.
* Track project progress and follow up with departments on action items assigned by the Director.
* Maintain confidential files, documents, contracts, and business records.
* Organize travel arrangements, hotel bookings, transportation, and travel itineraries.
* Assist in planning business events, client meetings, and corporate presentations.
* Prepare weekly and monthly performance reports for management review.
* Ensure effective communication between the Director and internal/external stakeholders.
* Handle ad hoc administrative and operational responsibilities as assigned.
