Key Roles and Responsibilities
- Vendor Management
- Identify and evaluate suppliers/vendors
- Maintain good relationships with suppliers
- Negotiate prices, delivery schedules, and payment terms
- Purchase Planning
- Analyze material requirements from different departments
- Prepare purchase orders based on demand and inventory levels
- Ensure uninterrupted supply of materials
- Procurement Process
- Obtain quotations and compare prices
- Prepare and process purchase orders (POs)
- Follow company procurement policies and procedures
- Inventory Coordination
- Coordinate with warehouse/store departments
- Monitor stock levels to avoid shortages or overstocking
- Ensure proper material receipt and verification
- Cost Control
- Negotiate cost-effective deals
- Monitor market trends and pricing
- Reduce procurement costs while maintaining quality
- Documentation & Record Keeping
- Maintain purchase records, invoices, and contracts
- Update procurement databases and ERP systems
- Prepare reports related to purchasing activities
- Quality Assurance
- Ensure purchased materials meet quality standards
- Coordinate with quality control teams for inspections
- Handle defective or rejected materials with suppliers
- Coordination with Departments
- Work closely with production, finance, logistics, and stores
- Ensure timely delivery of materials as per project/production needs
