Position Summary
The HR Executive is responsible for managing day-to-day human resource functions including recruitment, onboarding, employee records, attendance management, statutory compliance, staff welfare, performance management support, training coordination, and employee engagement activities. The role ensures smooth HR operations while maintaining compliance with organizational policies and labor regulations.
Key Responsibilities1. Recruitment & Staffing
- Coordinate manpower requirements with department heads.
- Publish job vacancies on recruitment platforms.
- Screen resumes and shortlist candidates.
- Schedule interviews and coordinate recruitment processes.
- Conduct reference checks and background verification.
- Prepare offer letters and appointment letters.
- Maintain recruitment tracker and candidate database.
2. Employee Onboarding
- Coordinate joining formalities.
- Collect employee documentation.
- Prepare employee files and records.
- Conduct employee induction programs.
- Introduce organizational policies and procedures.
- Coordinate departmental orientation.
3. Employee Records Management
- Maintain personnel files.
- Update employee database regularly.
- Maintain leave records and attendance records.
- Ensure confidentiality of employee information.
- Manage employee documentation and contracts.
4. Attendance & Leave Management
- Monitor daily attendance.
- Track employee leave balances.
- Verify attendance reports.
- Coordinate shift schedules with departments.
- Maintain overtime records where applicable.
5. Training & Development
- Coordinate internal training programs.
- Maintain annual training calendar.
- Track training attendance.
- Maintain training records and certificates.
- Support competency assessments.
- Prepare monthly training reports.
6. Performance Management Support
- Assist in performance appraisal processes.
- Maintain appraisal records.
- Follow up on appraisal timelines.
- Support employee development planning.
7. Employee Relations
- Address employee concerns and grievances.
- Facilitate communication between employees and management.
- Promote positive workplace culture.
- Organize employee engagement activities.
- Support disciplinary procedures when required.
8. Compliance & Policy Implementation
- Ensure compliance with labor laws.
- Maintain statutory records.
- Support audits and inspections.
- Assist in policy implementation.
- Maintain HR compliance documentation.
9. Payroll Coordination
- Verify attendance and leave data.
- Coordinate payroll inputs.
- Maintain salary records.
- Support payroll processing activities.
- Resolve payroll-related employee queries.
10. HR Reporting
Prepare periodic reports including:
- Employee headcount
- Recruitment status
- Staff turnover
- Training attendance
- Leave utilization
- Performance review status
- Compliance reports
Rehabilitation Centre-Specific ResponsibilitiesStaff Credential Management
- Maintain professional licenses and registrations.
- Track renewal dates.
- Maintain educational qualification records.
Compliance Support
- Support NABH and quality audits.
- Maintain mandatory training records.
- Track staff competency requirements.
Staff Welfare
- Coordinate employee wellness initiatives.
- Support workplace safety programs.
- Facilitate staff recognition programs.
Required QualificationsEducation
- Bachelor's Degree in Human Resources & Business Administration.
Preferred
- MBA/PGDM in Human Resources
- HR Certification
ExperienceEssential
- 1-5 years of HR experience.
Preferred
- Experience in healthcare, rehabilitation centres, hospitals, or mental health facilities.
