POSITION GOALS
Procurement Manager will be responsible for managing all aspects of the procurement service (IFM & PDS Sourcing) delivery in India (CLIENT); primarily Vendor Management and Vendor Selection. In this capacity, the Procurement Manager is accountable for the achievement of the Management Plan and all key performance indicators including responsibility for managing the budgets, short and long-term regional projects, operations and maintenance, interface with senior managers in client business units, coordination with other key managers within CLIENT alliance partner organizations and customer satisfaction.
DUTIES & RESPONSIBILITIES
Operational Matters
Provide the leadership to the Procurement Management team in the corporate office & single point of contact procurement in the PAN India.
Be responsible for statutory compliance program for sub vendors across Client India.
In consultation and collaboration with Client team leads oversee the operation, staffing, performance and development of the sub-contractor service delivery across all sites.
Ensure client satisfaction with Facility/Property Management teams across India sites by providing a seamless interface into central procurement. Demonstrate leadership, responsiveness and creativity.
Understand the Procurement Management scope for the client assigned and develop client specific processes and procedures in consultation with Transition Manager and ensure implementation and compliance of the processes.
Support the FSG Head in the implementation of short and long-term projects for CLIENT India.
Develop and implement the annual management plan; accomplish key performance indicators as identified by CLIENT Head.
Ensure compliance with Jones Lang LaSalle minimum audit standards.
Share benchmarks data & best practices with the assigned owner of best practices for Jones Lang LaSalle CLIENT.
Daily Routine Job:
Receive requisition from ops team and initiate sourcing process for each requisition.
Follow Sourcing process as per the MSA signed with Client.
Initiate the Sourcing process with Site visit, SOW/BOQ and final quote from vendors.
Accountable for medium risk procurements or discrete deliverables in significant high value and high-risk procurements
Getting approval from different stakeholders before raising the PR.
Follow up with different stakeholders to approve the PR and revert on any query raised by the stakeholders.
Finalizing the AMC Contracts
Identifying the potential suppliers who can provide quality services along with value added services to CLIENT.
Rate Contracts for MRO Products
Renewal of contracts
Attending monthly Procurement meetings.
Making MIS Report
Updating saving tracker on quarterly basis.
Identification of potential vendors
Consolidation of vendors on quarterly basis
Making quarterly reports on procurement activities
Weekly report on Pending PR, Pre PR open items,
Weekly call with City Leads on open item status.
Biweekly call with US JLL team.
Commercial Negotiations with vendors and closure.
Contract Processing in Bravo from initiation to Final contract sign.
Vendor Meeting/Call.
Attending training as per the CLIENT standard compliance trainings.
Coordinating with JLL Corporate Sourcing to get any vendor reference and any other related issue.
JLL Pos and Amendments of Manpower arrears.
Supplier Onboarding Document collection. Filled the required document and get it on boarded by AP team on and Post on boarding need to fill the vendor setup form and get it activated in Ariba
KEY PERFORMANCE MEASURES
Complete contract management responsibilities
Cost Productivity: Savings on managed purchase base
Ensure TAT Productivity as per Value based transactions.
Completion / collection of Due Diligence documents of vendor before finalization
Maintain deep connections with business - deepen and widen trusted relationships
Quarterly review with internal stakeholders
Deliver stakeholder satisfaction score for respective city
Lead design, development & implementation of SCM activities optimization
Ensure compliance to policy & 100% compliance in terms of adherence to Risk compliance, process manuals etc.
Procurement process & regulatory communication within the organization and with the site teams.
Client satisfaction
Improvement and savings initiatives for the sites as well as Jones Lang LaSalle.
Management Role/ResponsibilitiesIn addition to providing the information listed above, the management responsibilities of this role include:
Weekly call with IFM City Leads to discuss the status of Open Items.
Weekly call with Client on criticality if any on open items.
Bi Weekly call with JLL/CLIENT US team to share the India concern.
InteractionCoordination with IFM team for requisition template with BOQ and SOW.
Coordination with CLIENT SCM team to expedite the approval process of PR.
Weekly Meeting with different stake holders to discuss on status of open items.
Regular vendor meetings with adhoc & service partners
Education / Yrs of Experience: Graduate with 8 years of Experience in IFM process
Skill Sets: Thorough knowledge on IFM Sourcing Process.
Strong at negotiation skills, Supplier Management, PDS Sourcing & communication skills.
Technical: Good knowledge in MS Office – MS Word, MS Excel and Power Point.
Others
Management and lead all the sourcing & Procurement activities for IFM & PDS Sourcing across PAN India.
Manage End to end Vendor contract Management.
Manages contract management services for all eligibility vendors.
Provides expert guidance to cross-functional project groups relating to contract management issues
Leads the development of the organization’s strategic procurement plans
100% compliance in terms of adherence to Risk compliance, process manuals etc.
Implementation of Sustainable Procurement initiatives
Savings on managed purchase base and updating of JLL Corporate format (Direct & Cost avoidance savings)
