Payroll & Compliance Executive

Job Summary
We are looking for a highly organized and detail-oriented Payroll & Compliance Executive to manage end-to-end payroll processing, statutory compliance, labour law compliance, and payroll-related financial activities. The ideal candidate should possess strong knowledge of payroll operations, taxation, statutory filings, and government regulations while ensuring accuracy, confidentiality, and timely compliance.
Key Responsibilities
1. Payroll Management
- Process end-to-end monthly payroll for all employees.
- Verify attendance, leaves, overtime, incentives, commissions, bonuses, and deductions before payroll processing.
- Process salary revisions, promotions, arrears, reimbursements, and variable pay.
- Generate salary slips and payroll reports.
- Prepare Full & Final (F&F) settlements for resigned employees.
- Maintain employee payroll records and documentation.
- Resolve employee payroll-related queries.
- Coordinate with HR and Finance teams for payroll inputs.
- Ensure timely and accurate payroll processing.
2. Statutory ComplianceProvident Fund (PF)
- Calculate and verify monthly PF contributions.
- Generate and upload ECR files.
- File monthly PF returns.
- Manage UAN activation and employee KYC verification.
- Handle PF transfers, withdrawals, and exit formalities.
- Coordinate with EPFO for compliance-related matters.
Employees' State Insurance (ESIC)
- Calculate monthly ESIC contributions.
- File ESIC returns.
- Register employees and generate IP numbers.
- Maintain ESIC records and compliance documentation.
- Coordinate with ESIC authorities as required.
Professional Tax (PT)
- Calculate monthly PT deductions.
- Process PT payments and return filings.
- Maintain state-wise PT compliance records.
Labour Welfare Fund (LWF)
- Calculate LWF deductions.
- Ensure timely payment and filing as per applicable state regulations.
Tax Deducted at Source (TDS)
- Calculate TDS on employee salaries.
- File quarterly TDS returns (Form 24Q).
- Generate and issue Form 16.
- Reconcile TDS deductions with TRACES.
- Ensure timely TDS payments.
Income Tax Compliance
- Collect employee investment declarations.
- Verify investment proofs.
- Compute annual income tax liability.
- Assist employees with income tax-related queries.
- Process tax adjustments before the financial year-end.
GST Compliance
- Prepare data for GST return filing.
- Assist in filing GSTR-1, GSTR-3B, and Annual GST Returns.
- Reconcile GST input and output tax.
- Verify GST invoices and maintain GST records.
- Coordinate with Finance and Auditors for GST compliance.
3. Labour Law Compliance
- Ensure compliance with all applicable labour laws.
- Maintain statutory registers as prescribed under labour laws.
- Support labour inspections and government audits.
- Maintain statutory employee records.
- Monitor updates to labour legislation and implement required changes.
- Ensure compliance with the Shops & Establishments Act and other applicable regulations.
4. Compliance & Documentation
- Maintain all statutory records and registers.
- Prepare monthly compliance MIS and reports.
- Maintain payroll reconciliation statements.
- Support internal, statutory, and tax audits.
- Ensure timely submission of statutory challans and returns.
- Maintain documentation required for government inspections.
- Coordinate with external consultants, Chartered Accountants, and government authorities.
5. Financial & Payroll Coordination
- Coordinate salary disbursement with the Finance team.
- Prepare payroll reconciliation reports.
- Verify payroll journals and accounting entries.
- Maintain payroll cost reports.
- Support payroll budgeting and forecasting activities.
Required Qualifications
- Bachelor's Degree in Commerce (B.Com), Finance, Accounting, Human Resources, or a related field.
- MBA (HR/Finance) or M.Com will be preferred.
- 2–5 years of experience in Payroll & Statutory Compliance.
- Experience in handling payroll for a medium to large workforce.
Required Technical Skills
- Advanced Microsoft Excel (VLOOKUP, XLOOKUP, Pivot Tables, IF, SUMIFS, Lookup Functions, Data Validation, etc.).
- Hands-on experience with HRMS/Payroll software.
- Working knowledge of:
- EPFO Portal
- ESIC Portal
- TRACES
- Income Tax Portal
- GST Portal
- MCA Portal
- Knowledge of Tally Prime or any ERP software will be an added advantage.

Pay: ₹25,000.00 - ₹35,000.00 per month
