Responsibilities
1. Financial Management
Oversee day-to-day financial operations, including accounts payable, receivable, payroll, and general ledger.
Prepare monthly, quarterly, and annual financial statements in compliance with applicable accounting standards.
Develop and manage annual budgets and forecasts, monitoring actual performance against targets.
Analyze financial data to identify trends, variances, and areas for improvement.
Manage cash flow, fund allocation, and banking relationships.
Coordinate external audits and act as a liaison with auditors.
Ensure proper finalization of accounts and accurate reporting of Profit & Loss and Balance Sheet.
Conduct monthly accounting activities such as provisional entries, depreciation, stock ledger updates, and salary accounting.
Maintain and update the Fixed Asset Register, and file MSME returns as required.
Conduct periodic reconciliation of general ledgers and ensure data integrity across systems.
2. Taxation & Statutory Compliance
A. GST
File GSTR-1 monthly (before 11th) and GSTR-3B monthly (before 20th).
Conduct GSTR-2A reconciliation and manage ITC claims.
File GSTR-ITC-4 and annual returns (GSTR-9 & 9C).
Maintain all GST input records and supporting documents.
Ensure compliance with E-invoicing and E-way bill requirements.
B. TDS / TCS
File quarterly TDS and TCS returns accurately and on time.
Perform 26AS reconciliation and TDS certificate reconciliation.
Verify and rectify defaults from TRACES portal.
Prepare salary computation and ensure timely income tax return filing.
C. Income Tax & Audit
Coordinate with auditors for statutory audit, tax audit, and income tax filings.
Arrange and submit all supporting documents for audit and tax assessments.
Ensure audit entries are passed and books are matched post audit completion.
D. Other Compliances
Ensure timely filing of ROC, PF, ESI, and other statutory returns.
Maintain compliance with Customs, Bank BRC, and other regulatory bodies.
3. Banking & Treasury Management
Handle bank reconciliation for multiple accounts (minimum 4 banks).
Monitor and verify abnormal bank debits and coordinate for resolution.
Manage import/export payments, advances, and LC documentation.
Coordinate with banks for LC opening, documentation, tracking, and closure.
Handle insurance activities related to units, assets, and banking.
Prepare and submit monthly stock statements, LC charge reconciliations, and interest reports to banks.
Prepare and submit Un-Hedged Reports, CRISIL Rating documentation, and bank renewal/sanction documents.
Follow up on EBRC, subvention, and drawback claims.
4. Imports & Exports
A. Exports
Prepare export invoices, packing lists, and arrange required customs documentation.
Handle self-sealing and compliance with export regulations.
Finalize export documentation as per customer and bank requirements.
Submit export documents to bankers for realization and follow-up on payments.
B. Imports
Arrange and coordinate import documentation with customs.
Submit shipping bills and other documents to bankers for settlement.
5. Receipts & Payments
Record all customer receipts and export payments daily in Tally.
Ensure timely accounting of export receipts and Letter of Credit (LC) collections.
Track and arrange necessary documents for export and LC payments.
Process import payments and supplier advances as per business requirements.
Handle salary disbursements and prepare payment documentation.
Record all bank charges, interest, and debit entries with supporting reconciliations.
6. MIS & Reporting
Prepare monthly Profit & Loss and Balance Sheet reports.
Submit monthly stock statements and financial reports to management and banks.
Reconcile and report on bank charges, LC costs, and interest computations.
Generate analytical MIS reports to support financial planning and decision-making.
7. Software & Systems
Manage financial data imports from SSS Software to Tally for all units.
Verify and reconcile sales and purchase data between SSS and Tally.
Ensure data accuracy and consistency across all financial systems.
8. Audit & Reviews
Coordinate all statutory, cost, bank stock, and financial audits.
Support auditors with required data and ensure timely closure of audit observations.
Maintain audit-ready documentation for all transactions and statutory filings.
9. Documentation & Record Management
Maintain proper filing of all GST, banking, import/export, LC, and taxation documents.
Organize financial correspondence, audit papers, and compliance records systematically.
Ensure easy retrieval and confidentiality of financial documents.
10. Risk Management & Governance
Identify financial and operational risks and implement appropriate mitigation measures.
Maintain internal controls to safeguard assets and ensure policy compliance.
Enforce ethical standards and anti-fraud controls across financial operations.
11. Leadership & Team Development
Supervise and guide the finance and accounts team in daily operations.
Promote a culture of accountability, precision, and compliance.
Conduct regular training sessions on updates in tax, compliance, and accounting standards.
12. Strategic & Business Support
Provide financial insights for cost optimization, business expansion, and investment decisions.
Collaborate with cross-functional teams to align financial goals with business objectives.
Support management in financial planning, budgeting, and performance reviews.
