Executive SecretaryJob Summary
We are looking for a highly organized, professional, and proactive Executive Secretary to provide comprehensive administrative and executive support to senior management. The candidate will be responsible for managing schedules, coordinating meetings, handling correspondence, maintaining confidential records, and ensuring effective communication and follow-up across departments.
Key Responsibilities
- Manage the executive's calendar, appointments, meetings, and daily schedule.
- Coordinate and organize internal and external meetings.
- Prepare agendas, minutes of meetings, reports, presentations, and official correspondence.
- Draft and manage emails, letters, notices, and other official communications.
- Coordinate with various departments and follow up on tasks assigned by senior management.
- Maintain confidential documents, records, and important organizational information.
- Monitor pending matters and provide timely follow-ups to concerned departments.
- Assist senior management in administrative, operational, and organizational activities.
- Coordinate official travel arrangements, appointments, and other executive requirements.
- Prepare regular updates and status reports on ongoing activities and projects.
- Handle communication with internal staff, external organizations, clients, vendors, and other stakeholders.
- Ensure that instructions from senior management are communicated effectively and followed up.
- Perform other administrative and executive support duties as assigned.
Requirements
- Bachelor's degree in any relevant discipline.
- 2–5 years of experience in executive secretarial, administrative, or coordination roles.
- Excellent written and verbal communication skills.
- Strong knowledge of MS Office, particularly Word, Excel, and PowerPoint.
- Excellent organizational, coordination, and time-management skills.
- Ability to handle confidential and sensitive information with discretion.
- Strong follow-up, multitasking, and problem-solving abilities.
- Professional appearance and interpersonal skills.
- Ability to work independently and coordinate effectively with multiple departments.
Preferred Skills
- Experience supporting Directors, CEOs, Chairpersons, or senior management.
- Good report writing and documentation skills.
- Strong email drafting and correspondence skills.
- Experience in meeting coordination and preparation of minutes.
- Ability to manage multiple priorities in a fast-paced work environment.
