Job Summary
The Billing Executive / Accounts Executive is responsible for handling customer billing, invoice processing, payment tracking, accounting entries, GST compliance, and financial documentation within the automobile industry. The role involves ensuring accurate and timely billing for vehicle sales, spare parts, workshop services, insurance claims, and other related transactions.
The ideal candidate should possess strong accounting knowledge, attention to detail, ERP/software handling skills, and experience in automobile dealership or automotive service operations.
Key Responsibilities1. Billing Operations
- Generate invoices for vehicle sales, spare parts, workshop services, accessories, and insurance claims.
- Ensure accurate billing as per company policies and customer requirements.
- Verify job cards, purchase orders, quotations, and service details before billing.
- Process cash, credit, and corporate billing transactions.
- Coordinate with sales and service departments for billing approvals and documentation.
2. Accounts & Financial Transactions
- Maintain daily accounting entries in Tally/ERP/SAP or accounting software.
- Handle accounts receivable and payable transactions.
- Reconcile customer accounts, vendor statements, and bank transactions.
- Assist in preparing financial reports and MIS statements.
- Monitor pending payments and follow up for collections.
3. GST & Compliance
- Ensure proper GST invoicing and tax calculations.
- Maintain accurate records of invoices, debit notes, credit notes, and e-way bills.
- Support GST filing and statutory compliance activities.
- Ensure compliance with company financial policies and audit requirements.
4. Cash & Payment Handling
- Manage daily cash collections and receipt entries.
- Process online payments, cheque entries, and payment reconciliations.
- Maintain petty cash records and expense documentation.
- Ensure proper deposit of daily collections.
5. Documentation & Reporting
- Maintain organized records of billing documents and customer files.
- Generate daily, weekly, and monthly billing reports.
- Prepare outstanding payment reports and financial summaries.
- Support internal and external audits with required documentation.
6. Coordination & Customer Support
- Coordinate with customers regarding billing queries and payment clarifications.
- Work closely with workshop, spare parts, insurance, and sales teams.
- Resolve invoice discrepancies and customer concerns promptly.
- Ensure smooth communication between departments for billing efficiency.
Required Qualifications
- Bachelor’s Degree in Commerce (B.Com), Accounting, Finance, or related field.
- Additional certifications in Tally, GST, or accounting software preferred.
Experience Required
- 1–5 years of experience in billing, accounts, or finance operations.
- Experience in automobile dealerships, workshops, or automotive service industry preferred.
- Freshers with strong accounting knowledge may also apply for junior roles.
