Position: Executive Assistant (EA)Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative and executive support to senior leadership. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, and ensuring the smooth functioning of day-to-day operations. The role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage and maintain the executive's calendar, appointments, and schedules.
- Coordinate internal and external meetings, including preparation of agendas and meeting minutes.
- Arrange travel itineraries, accommodation, and other logistics as required.
- Act as a point of contact between the executive and internal/external stakeholders.
- Handle confidential information and maintain records with utmost discretion.
- Prepare reports, presentations, correspondence, and other business documents.
- Screen and prioritize emails, calls, and requests to ensure timely response and follow-up.
- Coordinate with various departments to facilitate effective communication and execution of tasks.
- Track action items and ensure timely completion of assigned deliverables.
- Organize events, conferences, and business meetings.
- Maintain documentation and filing systems for easy retrieval and reference.
- Assist in preparing MIS reports and management presentations.
- Support strategic initiatives and other ad hoc assignments as directed by the management.
- Ensure smooth day-to-day administrative operations and provide support to senior leadership.
Qualifications
- Bachelor's degree in Commerce, Business Administration, Management, or a related field.
- 1–5 years of experience in Executive Assistance, Administration, or a similar role.
- Proficiency in MS Office Suite (Excel, Word, PowerPoint, Outlook).
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- High level of professionalism, integrity, and confidentiality.
- Ability to work independently and manage multiple priorities effectively.
