Position Overview:
We are seeking a proactive, organized, and detail-oriented Admin Executive to support the day-to-day administrative operations of our Bangalore center. The ideal candidate will ensure smooth office functioning, coordinate with internal teams, maintain records, and provide administrative support to management, trainers, students, and parents.
Key Responsibilities:
- Manage daily office operations and administrative activities.
- Maintain and organize physical and digital records, documents, and files.
- Handle incoming calls, emails, and visitor inquiries professionally.
- Coordinate meetings, appointments, and schedules for management and staff.
- Ensure office supplies, equipment, and facilities are properly maintained.
- Support the smooth functioning of STEM classes, workshops, and events.
- Coordinate classroom schedules and resource allocation.
- Assist in student registration, enrollment documentation, and attendance tracking.
- Maintain inventory of robotics kits, learning materials, and office supplies.
- Coordinate with vendors for procurement and maintenance requirements.
- Act as the first point of contact for parents and students.
- Address routine queries regarding programs, schedules, and administrative procedures.
- Support communication regarding classes, camps, competitions, and events.
- Assist with fee collection follow-ups and documentation.
- Prepare reports, spreadsheets, and administrative records as required.
- Maintain employee attendance and leave records.
- Support HR and accounts teams with documentation and coordination.
- Ensure accurate data entry and record maintenance.
- Assist in organizing workshops, STEM competitions, exhibitions, and special events.
- Coordinate logistics, materials, and participant records.
- Support event registrations and communication activities.
Required Skills:
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in MS Office (Word, Excel, PowerPoint) and Google Workspace.
- Good record-keeping and documentation skills.
- Ability to work independently and as part of a team.
- Professional attitude and customer-service orientation.
Preferred Qualifications:
- Experience in an educational institution, training center, or service industry.
- Familiarity with CRM, attendance management, and basic accounting processes.
- Experience coordinating events and workshops.
