Responsibilities:
Key Responsibilities – Document Specialist
Document Ownership & Governance

Own, manage, and maintain all master documents within the WB – Grow & Strengthen portfolio, ensuring accuracy, completeness, and alignment with approved standards.

Serve as the single point of accountability for document integrity throughout the document lifecycle, from creation through updates and archival.

Ensure documents adhere to internal governance frameworks, formatting standards, and audit requirements.
Stakeholder Collaboration & Change Intake

Proactively engage with Product Consultants, Compliance, and other relevant stakeholders to understand proposed changes driven by product enhancements, regulatory updates, or business requirements.

Translate complex product and regulatory inputs into clearly defined document change requirements.
-
Act as a trusted partner between business, product, and compliance teams to ensure clarity, consistency, and alignment.
Change Identification & Consolidation

Identify, analyze, and consolidate changes across multiple inputs to avoid duplication, conflict, or inconsistencies within documents.

Assess impact of changes across related documents and ensure downstream dependencies are addressed.

Apply sound judgment to prioritize updates based on regulatory risk, customer impact, and business urgency.
Version Control & Change Management

Maintain rigorous version control, ensuring that only approved and current versions of documents are in circulation.

Log and maintain detailed change histories, including rationale, source of change, effective dates, and approval details.

Support audit, compliance, and regulatory reviews by providing accurate document lineage and traceability.
Handover to Product & Downstream Teams

Prepare structured and clear handovers of finalized document changes to the Product Team for system updates, publishing, or further processing.

Ensure handover artifacts are complete, unambiguous, and aligned to system and business requirements.

Actively clarify questions and resolve issues during downstream implementation.
Testing & Quality Assurance Support

Provide hands-on support during testing of document changes, validating accuracy, formatting, logic, and regulatory adherence.

Participate in test case reviews and defect triage related to document updates.

Ensure issues identified during testing are resolved and reflected accurately in final document versions.
User Acceptance Testing (UAT) Coordination

Help coordinate UAT activities by collaborating with business users, product consultants, and compliance stakeholders.

Facilitate issue resolution during UAT, ensuring feedback is captured, assessed, and incorporated where appropriate.

Support timely UAT sign-off by ensuring documents meet business and regulatory expectations.
Cross-Portfolio Coverage & Continuity

Act as a backup Document Specialist for other areas within the broader product portfolio, ensuring business continuity and minimal disruption.

Build and maintain cross-domain knowledge to enable smooth handovers and temporary coverage.

Contribute to standardization and best practices across document specialist teams.
Continuous Improvement

Identify opportunities to improve document management processes, templates, controls, and tooling.
Contribute to knowledge sharing, playbooks, and process documentation to enhance team efficiency and scalability.
Qualifications:
Any Graduate (bachelors degree, BBA/MBA as additional preferred).
