Key Responsibilities
- Research and identify suitable banquet halls for events.
- Source and coordinate with vendors for stage setup, backdrop, audio-visual (AV), and music requirements.
- Manage and coordinate the complete event flow with the banquet hall team.
- Oversee and finalize food and catering arrangements with the banquet.
- Conduct site visits to venues prior to the event or seminar.
- Supervise event setup and ensure all arrangements are in place at the venue.
- Handle end-to-end event coordination on the day of the event.
- Prepare event invoices and collect bills from banquet halls.
- Maintain a record of photos and videos for every event and venue setup.
- Manage all email communications related to banquet bookings and event setups.
- Negotiate pricing and contracts with banquet halls and vendors.
- Coordinate and execute online bookings for venues outside Mumbai.
- Arrange accommodation bookings and record room videos when required.
- Book flight and train tickets for travel arrangements.
- Send and manage approval emails for travel and accommodation bookings.
- Ensure all communications and confirmations are documented via email.
