Job description:
Meetings, calendar, and schedule management:
Manage the MD’s calendar, including scheduling meetings, appointments, and reminders
Prioritize meetings based on importance and urgency
Ensure adequate preparation time between meetings
Coordinate with internal and external stakeholders for scheduling
Ensure logistics (venue, video conferencing, links, materials)
Take notes or action items where required
Travel planning and coordination:
Plan and manage domestic and international travel (flights, hotels, visas, local transport)
Prepare detailed travel itineraries
Handle last-minute changes efficiently
Ensure all documentation and logistics are in place
Communication and coordination:
Act as a point of contact between the MD and internal/external stakeholders
Screen calls, messages, and emails where required
Follow up with teams on behalf of the MD for updates or information
Expense management:
Track and manage the MD’s business and personal expenses
Maintain proper records and supporting documents for all expenses
Coordinate with the accounts team to submit credit card statements along with complete backups/ invoices
Ensure timely submission and reconciliation of expenses
Follow up on any discrepancies or missing documentation
Administrative and personal support:
Manage routine administrative tasks and documentation
Assist with personal errands and tasks as required
Maintain records, files, and important documents
Coordinate with vendors, service providers, and household/ personal staff if needed
Reporting requirements:
· Monthly submission of relevant expenses/ invoices to Accounts team
Decision making and authority:
· Nil
Pay: ₹250,000.00 - ₹350,000.00 per year
