Key Responsibilities:
1. Research & Vendor Sourcing
Identify, evaluate, and shortlist venues, catering services, artists, manpower agencies, and other vendors aligned with event objectives.
Conduct market research to bring innovative practices in hospitality, guest engagement, and vendor management.
Build and maintain a reliable vendor database for future events.
2. Budgeting & Planning
Develop cost-effective plans by negotiating pricing and services with vendors.
Balance quality and budget requirements while ensuring value optimization.
Finalize contracts, timelines, and deliverables within approved budgets.
Maintain detailed records of agreements, quotations, and commercial terms.
Support the Project Manager in budget tracking, reconciliation, and invoicing.
3. Event Execution & Coordination
Act as the primary liaison with venues and oversee all on-ground logistics including seating, staging, power, safety, and compliance.
Coordinate guest hospitality including accommodations, travel, and special requirements.
Manage communication with guests via calls/emails for invitations, RSVPs, reminders, and feedback.
Supervise event staff such as ushers, registration teams, and technical crew to ensure smooth operations.
Troubleshoot real-time issues and ensure seamless event delivery.
4. Communication Management
Ensure clear and timely communication between internal teams, vendors, and guests.
Track action items, timelines, and follow-ups to prevent last-minute escalations.
Maintain documentation and reporting throughout the event lifecycle.

5. Post-Event Closure
Ensure completion of vendor deliverables and documentation.
Collect invoices and coordinate payments with the Project Manager.
Gather guest and stakeholder feedback for continuous improvement.
Archive vendor and event details for future reference and learning.
Requirements:
Bachelor’s degree in Event Management, Communications, Hospitality, or related field
2–5 years of experience in events, hospitality, or operations coordination Experience handling vendors and guest management preferred
Excellent organizational and problem-solving skills.
Ability to work under pressure and meet tight deadlines.
Willingness to work flexible hours, including weekends and late nights during events
