Assistant Manager / Sr. Executive – HR Administration

Job Purpose:
To oversee and manage the entire spectrum of Human Resource Management and
Administrative functions, ensuring effective implementation of HR policies, systems, and
practices in alignment with organizational goals. The role demands a blend of strategic and
operational HR management, ensuring employee engagement, legal compliance, and
efficient administrative operations.
Key Responsibilities:
A. Core HR Functions
1. Recruitment & Talent Acquisition
Manage end-to-end recruitment process: manpower planning, job posting, screening,
interviewing, selection, and onboarding.
Liaise with recruitment consultants, job portals, and institutions for talent sourcing.
Ensure timely hiring aligned with manpower budget and business needs.
Maintain and update the organization’s manpower database.
2. Performance Management
Implement and manage the Performance Appraisal System (KRA/KPI based).
Coordinate annual/half-yearly/quarterly performance review cycles and ensure timely
completion.
Work with department heads to identify performance gaps and training needs.
Support in designing performance-linked reward and recognition programs.
3. Learning & Development
Identify training and development needs through performance reviews and
discussions.
Plan, coordinate, and evaluate in-house and external training programs.
Maintain training records and analyse training effectiveness.
4. Compensation & Benefits
Prepare and manage monthly payroll, statutory deductions, and benefits
administration.
Handle salary revisions, incentive programs, and annual CTC structures.
Ensure compliance with minimum wages, bonus, gratuity, and other statutory norms.
5. Statutory Compliance & Industrial Relations
Ensure compliance with all applicable labour laws (Factories Act, PF, WC, Gratuity,
Bonus, Contract Labour, etc.).
Handle inspections and liaise with government authorities.
Manage employee grievances and maintain harmonious industrial relations.
Maintains all statutory records, registers, and returns as per compliance
requirements.
6. HR Policy, Documentation & MIS
Draft, review, and implement HR policies and procedures.
Maintain updated employee records (joining, confirmation, transfer, promotion,
separation, etc.).
Generate HR reports and dashboards for management review (attrition, manpower,
leaves, training, etc.).
B. HR Generalist Functions
1. Employee Engagement & Welfare
Drive employee engagement initiatives such as cultural events, welfare activities, and
recognition programs.
Conduct employee satisfaction surveys and recommend action plans.
Handle grievance redressal and ensure a positive workplace culture.
2. Attendance, Leave & Time Office Management
Oversee biometric attendance, leave management, and discipline monitoring.
Maintain punctuality, shift schedules, and absenteeism reports.
Coordinate with production departments for shift and overtime management.
3. Administration & Facility Management
Supervise housekeeping, security, canteen, transportation, travel management,
guest management, employees Quarters management and general office
maintenance.
Manage vendor contracts, office supplies, and administrative budgets.
Ensure smooth functioning of administrative support systems.
4. Health, Safety & Environment (HSE) Support
Collaborate with the Safety Officer for implementation of safety standards.
Support health check-ups, accident reporting, and EHS compliance.
5. Employee Exit & Final Settlement
Manage full & final settlement, exit interviews, and clearance procedures.
Analyse exit data and suggest measures to reduce attrition.
Desired Candidate Profile:
Qualification: MBA / PGDM in HR, MSW (HR), or equivalent.
Experience: 8–10 years in HR & Administration, preferably in a manufacturing or
industrial setup.
Skills Required:
o Strong knowledge of HR processes and statutory compliance

o Proficiency in HRMS / MS Office / AI Tools

o Ability to handle confidential and sensitive information professionally
