Role Overview
We are looking for an organized and proactive HR & Recruitment Operations Consultant to manage our end-to-end interview coordination and post-selection administrative workflows. In this role, you will act as the primary liaison between candidates, internal interviewers, and HR to ensure seamless scheduling, prompt candidate communication, and meticulous documentation from interview alignment through onboarding paperwork.
Key Responsibilities1. Interview Coordination & Scheduling
- Schedule & Align Interviews: Coordinate interview availability across multiple time zones for candidates, hiring managers, and panel members using Google Calendar / Outlook.
- Candidate Communication: Send interview invites, reminders, preparation materials, and video links (Zoom, Google Meet, Teams) to candidates in a timely, professional manner.
- Pipeline Tracking: Maintain real-time candidate status updates within our Applicant Tracking System (ATS) / tracking tools.
- Rescheduling & Troubleshooting: Handle last-minute schedule changes, cancellations, or technical issues gracefully to minimize downtime for interviewers and friction for candidates.
2. Post-Interview & Documentation Management
- Feedback Collection: Follow up with hiring managers and interviewers post-interview to collect structured evaluation scores and feedback notes.
- Offer Letter Prep & Dispatch: Draft and send accurate offer letters, employment contracts, and NDA agreements using e-signature tools (e.g., DocuSign, Zoho Sign).
- Document Verification: Collect, verify, and archive essential pre-employment documentation (educational certificates, proof of work experience, ID proofs, pay slips, references).
- Pre-Onboarding Handover: Coordinate with candidates from offer acceptance to Day 1, ensuring all paperwork is completed prior to joining.
Requirements & Qualifications
- Experience: 5+ years of experience in recruitment coordination, HR operations, or talent acquisition administration.
- Communication: Exceptional written and verbal communication skills with a customer-service orientation toward candidates and team members.
- Attention to Detail: Meticulous approach to documentation, data privacy, and proofreading legal/HR paperwork.
- Time Management: Strong ability to prioritize urgent scheduling tasks and manage multiple candidate pipelines simultaneously.
