Role Description
The Business Administrator will provide proactive administrative support across the People, Business Operations and Finance functions, supporting the effective day-to-day operation of 9ine across our global teams.
The successful candidate will work within defined policies, processes and procedures to ensure activities are delivered accurately and consistently. The role will support recruitment, employee documentation, payroll and benefits, finance administration, office operations, travel, events and other business activities. The successful candidate must have excellent organisational skills, strong attention to detail and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
You will be responsible for:
- Providing proactive administrative support across HR, Business Operations and Finance activities.
- Supporting recruitment administration including CV screening, interview scheduling, candidate communications and maintaining recruitment records.
- Preparing employment contracts, offer letters, onboarding documentation and other colleague documentation as required.
- Coordinating onboarding and offboarding activities, ensuring required documentation, systems and administrative tasks are completed within agreed timescales.
- Maintaining accurate colleague records, HR systems and associated documentation.
- Supporting payroll administration including the preparation and coordination of payroll inputs, employee changes and supporting documentation.
- Monitoring and maintaining records relating to attendance, leave and other colleague administration.
- Supporting performance appraisal and training review processes through scheduling, documentation and maintenance of records.
- Maintaining HR policies, procedures and colleague documentation in the agreed systems.
- Coordinating travel, accommodation and logistics for colleagues and visitors including administration of work permits, visas and other employment-related documentation as required.
- Supporting the day-to-day running of the office, including office supplies, facilities, maintenance, vendors and office moves.
- Overseeing the day to day running of the offices, including office supplies, renovations, maintenance and moves.
- Assisting with the administration and logistics of business events and other internal activities.
- Supporting finance administration including client invoices, debtor follow-up activities, purchase orders, expenses and payment tracking.
- Maintaining accurate financial and operational documentation to support effective financial and business administration.
- Utilising the Service Desk system and 9ine Platform to organise, track and deliver daily activities.
- Handling highly confidential information in an honest, professional and trustworthy manner.
- Monitoring outstanding administrative actions and proactively following up to ensure completion within agreed timescales.
- Identifying and escalating risks, issues, delays or process exceptions along with daily updates to the HR & Business Operations Manager.
- Providing suggestions and areas of improvement to help improve internal processes, products and services.
Skills and Experience
- Relevant qualifications in business management or a related field.
- Demonstrable experience in delivering strong administrative support to teams.
- Strong organisational and administrative skills with excellent attention to detail.
- Strong interpersonal skills and a desire to work collaboratively to achieve objectives.
- Excellent troubleshooting skills and the ability to use initiative when resolving routine issues.
- Excellent organisational and analytical abilities.
- Excellent written and verbal communication skills.
- The ability to communicate effectively with diverse stakeholders.
- Excellent IT and navigational skills throughout Google Workspace.
