We are seeking a highly organized and proactive Front Office/HR Assistant to join our dynamic team. This dual-role position is crucial for ensuring the smooth operation of our front office while providing essential administrative support to the Human Resources department. The ideal candidate will be the first point of contact for visitors and callers, manage general office administration, and assist with various HR functions including recruitment support, onboarding, and maintaining employee records. This role requires excellent communication skills, a strong attention to detail, and the ability to handle confidential information with discretion.
- Greet and welcome visitors, ensuring a positive first impression and directing them to the appropriate personnel.
- Answer and direct incoming phone calls, managing inquiries professionally and efficiently.
- Manage incoming and outgoing mail, packages, and deliveries.
- Maintain a tidy and organized reception area and common office spaces.
- Coordinate and schedule meetings, appointments, and conference room bookings.
- Order and maintain office supplies, ensuring adequate stock levels and managing vendor relationships.
- Assist with the preparation of presentations, reports, and other documents as needed.
- Provide administrative support to the HR department, including drafting correspondence and preparing HR-related documents.
- Support the recruitment process by posting job openings, scheduling interviews, and communicating with candidates.
- Assist with new employee onboarding, including preparing new hire paperwork, setting up workstations, and conducting initial orientation.
- Maintain and update employee records in the HRIS system and physical files, ensuring accuracy and confidentiality.
- Process HR-related invoices and expense reports.
- Respond to basic employee inquiries regarding HR policies and procedures, or direct them to the appropriate HR team member.
- Assist in organizing company events, training sessions, and employee engagement activities.
- Perform other administrative and HR-related duties as assigned by management.
