Job Summary:
The Purchase cum Store In-Charge is responsible for managing the procurement, receipt, storage, and issuance of food items, beverages, kitchen supplies, and other materials required for the smooth operation of the college cafeteria. The role ensures timely procurement, proper inventory control, compliance with food safety standards, and cost-effective purchasing while maintaining accurate records.
Key Responsibilities
- Procure food items, groceries, beverages, kitchen consumables, cleaning materials, and other cafeteria supplies.
- Identify, evaluate, and negotiate with vendors to obtain quality products at competitive prices.
- Prepare purchase requisitions, purchase orders, and monitor delivery schedules.
- Receive and inspect all incoming materials for quality, quantity, and compliance with purchase orders.
- Ensure proper storage of perishable and non-perishable items following food safety and hygiene standards.
- Monitor stock levels and initiate timely replenishment to prevent shortages or overstocking.
- Issue materials to kitchen and cafeteria staff based on approved requisitions.
- Maintain inventory records, stock registers, and documentation for all receipts and issues.
- Conduct periodic physical stock verification and reconcile inventory discrepancies.
- Monitor expiry dates and implement FIFO (First In, First Out) or FEFO (First Expired, First Out) inventory practices.
- Coordinate with the accounts department for invoice verification and payment processing.
- Maintain cleanliness and organization of the store area.
- Ensure compliance with institutional policies, food safety regulations, and health standards.
- Prepare daily, weekly, and monthly purchase and inventory reports for management.
Qualifications
- Diploma or Bachelor's degree in Commerce, Business Administration, Hospitality Management, Supply Chain Management, or a related field.
- 2–5 years of experience in purchasing and store management, preferably in a cafeteria, restaurant, hotel, or institutional food service.
- Proficiency in MS Office and inventory/ERP software is preferred.

- Ability to stand and walk for extended periods.
- Ability to lift and move materials weighing up to 25 kg, as required.
- Ability to work in cold storage and warehouse environments when necessary.
