Job Summary
We are looking for a proactive and responsible Office Administrator to manage day-to-day office operations, maintain workplace standards, and ensure smooth administrative functioning. The ideal candidate should have prior experience in office administration, good communication skills, and basic knowledge of IT systems and networking.
Key Responsibilities
Facility & Housekeeping Management
- Supervise housekeeping staff and ensure the office is maintained at the highest standards of cleanliness and hygiene.
- Conduct regular inspections to ensure all workspaces, meeting rooms, pantry areas, and common areas are well-maintained.
- Coordinate deep cleaning activities as required.
Client & Visitor Management
- Welcome and assist clients, visitors, and guests professionally.
- Arrange refreshments and ensure proper hospitality during meetings and business visits.
- Maintain meeting room readiness and coordination.
Office Administration & Inventory Management
- Manage daily office administration activities.
- Maintain and monitor office inventory, including stationery, consumables, and office assets.
- Track stock levels and coordinate timely procurement of required materials.
- Maintain vendor records, invoices, and service schedules.
Vendor & Service Management
- Coordinate and manage external service providers for:
- Pest Control Services
- Deep Cleaning Services
- Air Conditioner (AC) Servicing and Maintenance
- General Office Maintenance
- Ensure services are completed on schedule and maintain service records.
Required Qualifications & Skills
- Minimum 2-5 years of experience in Office Administration, Facility Management, or a similar role.
- Strong organizational and multitasking abilities.
- Good verbal and written communication skills.
- Basic knowledge of computer systems, networking, and office equipment.
- Ability to coordinate with vendors, employees, and management effectively.
- Proficiency in MS Office (Excel, Word, Outlook) is preferred.
- English communication skills will be an added advantage.

Experience
