Duties & Responsibilities
What this job involves –
Meet & greet the client with daily updates as applicable.
To Assist Manager Client Services for the smooth running of daily operations.
To facilitate / handhold the Customers during all Client visits.
Ensure coordination for booking of conference/Meeting Rooms, food & beverage service, availability of AV equipment’s, projectors and other requirements
Develop contact and coordinate with Security team, GIT/IT, Admin team, Business team.
To ensure seamless entry of client at the main gate and escort client to conference/meeting room
To be available from start to end of client visit. To closely monitor.
Timely inputs to Admin lead for any concerns
To ensure end to end coordination for successful visit.
The request is received from the client coordinator / project team about the impending client visit.
To ensure CVF (Client Visit Form) which contains various requirements / arrangements for the client visits will be sent to the admin team for getting necessary inputs with respect to the arrangements. The CVF has to be provided two days in advance to enable Admin team to act upon the requests in a smooth manner. TO coordinate with Admin team for necessary arrangements.
Collect the information and connect with client coordinator for accommodation and transport requirements. To route the request with appropriate verticals for necessary arrangements and follow up.
Any other specific arrangements (experience centers / town halls) to be made for the visit need to be informed well in advance for venue availability and necessary clearance from facility Admin to organize the same.
Based on the input shared by the client coordinator / project team, the approx. budget will be shared to get the approval from BUH along with the cost center code / project code.
The respective dept. like IT, Security, Network, Maintenance, Transport, HK, Pantry services etc. to be notified about this visit to take care of the respective areas.
The cab details to be notified to the security team prior to the visit, if shared by the requestor / client coordinator / project team
Booking of Board room, EBR etc. to be taken care based on the availability.
All AV systems and arrangements to be pre-checked before the event to ensure seamless operations.
The client names to be displayed in the monitor available in the reception area while welcoming the guest.
The Client coordinator / Project team / FO team to welcome the clients (with flower bouquet as requested by business)
Professional Photographer to be arranged upon prior request from the coordinator.
The client details to be updated by the concerned client coordinator with their name, details of the laptop etc. in the register that is available at the security reception. The approval for permitting the client laptop to be taken from IT / InfoSec team, on prior notice of the details given by the requestor / client coordinator / project team.
Availability of Guest network access
The pantry services should take care of Refreshments, Lunch, snacks etc. as per the schedule given under CVF.
Refreshments like coffee / Tea, Soft drinks, cookies to be arranged in the Board room based on the requirement as per the CVF.
All meals will be arranged in the dining room for Clients, from the std. star Hotel/outdoor caterers as per the contracted rate or as requested in the CVF.
Meals to be arranged in the Hotel through booking table, if any as per the CVF and the same would be BTC if it is listed a Hotel with HCL tie up or as requested in the CVF.
General gifts to also be arranged as per the request mentioned in the CVF.

Ensure the 52-Week Calendars are implemented & adhered
Establishment and adherence to policies & procedures, compliance deadlines for each of the tasks as advised by the Operation Manager.
Effective management of the team
Ensure the continuous training & improvement of the team assigned
Key skills
Asst Manager will have responsibility for the management of a wide range of issues, from strategic Contracts management to input on day-to-day operations.
Asst Manager will be highly familiar with the service structure, including responses to requests for assistance on Facilities Management issues from Client staff and arrangements pertaining to all operating expenditures.
Well-groomed and presentable all the time.
Good communication Skills.
