Job Summary
We are looking for a responsible and organized Admin Assistant to support daily centre operations, inventory management, staff administration, vendor coordination, and record management. The ideal candidate should be detail-oriented, proactive, and comfortable handling multiple administrative tasks.
Key Responsibilities
Administration & Facility Management
- Conduct daily centre rounds and ensure cleanliness and hygiene standards.
- Coordinate housekeeping and maintenance activities.
- Monitor facility requirements and raise purchase requests when needed.
- Review meal quality and coordinate with kitchen staff.
Inventory & Stock Management
- Maintain stock levels of medicines, surgical items, groceries, cleaning supplies, stationery, and other materials.
- Coordinate purchases with vendors and suppliers.
- Conduct regular stock audits and maintain inventory records.
Petty Cash & Records
- Maintain petty cash records and daily cash tallies.
- Record purchases, cheque deposits, and cash withdrawals accurately.
Staff Administration
- Support onboarding and employee documentation.
- Monitor attendance through registers and HR software.
- Maintain leave records and assist with employee exit formalities.
- Help resolve staff-related administrative concerns.
Software & Documentation
- Update attendance records for staff and residents.
- Maintain resident records and monthly billing information.
- Generate invoices and coordinate payment receipt sharing.
Events & Donor Coordination
- Assist in organizing events, celebrations, and volunteer activities.
- Maintain donor and donation records accurately.
