Job Summary
A highly organised and proactive Project Coordinator responsible for managing multiple operational, administrative, and project-related activities across departments. The role involves coordinating business operations, managing software implementation projects, tracking workflows, handling communication with suppliers and clients, monitoring deadlines, preparing reports, and supporting management in ensuring smooth day-to-day operations.
The Project Coordinator acts as a central point of coordination between teams, vendors, management, and external service providers while ensuring tasks are completed accurately and within timelines.
Key Responsibilities
Project Coordination & Management
- Coordinate and manage multiple projects simultaneously across departments.
- Track project progress, deadlines, pending tasks, and follow-ups.
- Maintain project trackers, MOM (Minutes of Meeting) trackers, and process trackers.
- Ensure timely completion of assigned tasks and escalate delays when required.
- Assist management in planning, prioritising, and executing operational projects.
- Coordinate with internal teams and external vendors for smooth project execution.
- Prepare project updates, reports, and status summaries for management review.
Workflow & Process Management
- Develop and maintain workflow processes and operational trackers.
- Identify opportunities for workflow automation and process improvement.
- Assist in implementation and testing of new software and systems.
- Support departments in improving operational efficiency and reporting accuracy.
- Maintain organised records, documentation, and process notes.
Software & System Coordination
- Research and evaluate business software solutions and tools.
- Coordinate software implementation and migration activities.
- Assist with QuickBooks Online Advanced workflow setups and automation.
- Support CRM, task management, and workflow software implementation.
- Coordinate with software providers for troubleshooting, setup, and support.
- Maintain software access records and user coordination.
Communication & Vendor Coordination
- Communicate professionally with clients, suppliers, software providers, and service partners.
- Coordinate with telecom, broadband, and IT service providers regarding accounts, contracts, porting, renewals, and service issues.
- Follow up on quotations, agreements, contracts, and approvals.
- Prepare professional emails, reports, and business communications.
- Maintain positive relationships with vendors and stakeholders.
Reporting & Documentation
- Prepare operational reports, comparisons, summaries, and management updates.
- Maintain accurate records of contracts, invoices, agreements, and project documents.
- Assist in preparing presentations, trackers, and dashboards.
- Ensure proper filing and documentation of all project-related information.
Administrative Support
- Support senior management with coordination and administrative tasks.
- Schedule meetings, maintain follow-ups, and prepare meeting notes.
- Coordinate internal communications between departments.
- Monitor task completion and ensure accountability across teams.
- Handle ad-hoc operational and administrative responsibilities.
Bachelor’s degree in Business Administration, Commerce, Management, or related field.
- Excellent verbal and written communication skills.
- Technical Skill - Microsoft Excel, Microsoft Office Suite, Dashboard Preparation, Data Management, Project Tracking & Reporting Tools.
- Experience of 2-3years in project coordination, operations coordination, or administrative management.
- Ensure timely follow-ups and closure of pending activities.
- Improve process efficiency, task tracking, and workflow management.
Pay: ₹25,000.00 - ₹35,000.00 per month
