We are looking for a proactive and operationally strong Clinic Manager to oversee the daily functioning of our veterinary specialty clinics.
Job Summary
The Clinic Manager will be responsible for managing the overall operations, administration, client experience, team coordination, facility management, and process compliance of the clinic. The role requires strong leadership, multitasking ability, people management skills, and operational discipline to ensure smooth clinic functioning and excellent service standards.
Key Responsibilities
Clinic Operations
- Manage the day-to-day operations of the clinic.
- Ensure smooth patient flow, appointment coordination, and client handling.
- Monitor clinic opening and closing procedures.
- Ensure operational readiness of consultation rooms, OT, diagnostics, pharmacy, and reception areas.
- Coordinate with doctors, technicians, front desk staff, housekeeping, and vendors.
Team Management
- Supervise front office, housekeeping, support staff, and coordinators.
- Prepare staff duty rosters and shift schedules.
- Monitor staff attendance, discipline, grooming, and performance.
- Conduct regular team meetings and operational briefings.
- Support HR in recruitment coordination and onboarding activities.
Client Experience & Service Quality
- Ensure excellent customer service and client satisfaction.
- Handle escalations, complaints, and service recovery professionally.
- Monitor feedback and improve patient/client experience.
- Maintain a warm, compassionate, and professional clinic environment.
Inventory & Vendor Management
- Monitor stock levels of medicines, consumables, OT supplies, and housekeeping materials.
- Coordinate with vendors for maintenance, housekeeping, pest control, biomedical waste, etc.
- Ensure timely procurement and stock replenishment.
- Verify invoices and maintain vendor coordination.
Compliance & Administration
- Ensure adherence to SOPs, hygiene protocols, and safety standards.
- Maintain records, reports, and operational documentation.
- Coordinate with management for audits and compliance requirements.
- Ensure proper maintenance of clinic infrastructure and equipment.
Financial & Reporting Responsibilities
- Monitor billing processes and daily collections.
- Maintain operational MIS reports and clinic performance data.
- Track expenses and coordinate with accounts for invoice processing.
- Support management in achieving operational efficiency and revenue targets.

Preferred Qualifications
- Bachelor’s degree in Management, Healthcare Administration, Hospitality, or related field
- 6–10 years of experience in clinic, hospital, healthcare, hospitality, or retail operations management
- Experience in veterinary or healthcare industry preferred
- Ability to handle multi-location coordination will be an added advantage
