Job Title: Executive Assistant
Department: Administration
Reports To: Managing Director / CEO
Key Responsibilities
- Manage the executive's calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, prepare agendas, record minutes, and track action items.
- Draft, review, and manage correspondence, presentations, reports, and official documents.
- Act as the primary point of contact between the executive office and internal/external stakeholders.
- Maintain confidential records, contracts, and business documents.
- Coordinate with project teams, procurement, finance, HR, and site operations to ensure timely follow-up on key initiatives.
- Monitor deadlines and ensure completion of assigned tasks and deliverables.
- Organize board meetings, client meetings, and corporate events.
- Prepare management reports, dashboards, and presentations using Microsoft Office tools.
- Maintain filing systems, both digital and physical, ensuring easy retrieval of information.
- Support vendor, client, and government communications when required.
- Assist with office administration, document control, and compliance activities.
- Perform additional administrative and executive support duties as assigned.
Required Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- 10-12 years of experience as an Executive Assistant, Personal Assistant, or Executive Secretary, preferably in the construction, infrastructure, engineering, or real estate industry.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- High level of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with document management and meeting coordination.
- Ability to prioritize multiple tasks and meet deadlines.

Pay: From ₹80,000.00 per month
