Job Description: Office Administrator
1. Job purpose:
The Office Administrator handles the day-to-day administrative operations of the manufacturing facility. This role serves as the central point of contact for the office, ensuring seamless coordination between shop-floor production, vendors, and corporate management while maintaining accurate digital and physical records.
2. Key responsibilities
- Office Coordination: Oversee daily plant office operations, maintaining clean, organized, and fully stocked administrative workspaces.
- Production Support: Assist production supervisors by organizing, duplicating, and distributing daily production orders, job cards, and schedules.
- ERP Data Entry: Input and update daily labor hours, staff attendance records, plant production metrics, and material dispatch registries into the company system.
- Inventory Management: Track and order necessary safety equipment (PPE), office stationery, and cleaning supplies to ensure zero operational downtime.
- Visitor Management: Greet incoming clients, vendors, corporate executives, and regulatory inspectors while enforcing strict plant safety sign-in protocols.
- Financial Admin: Assist the finance team by matching purchase orders (POs) with delivery notes, sorting vendor invoices, and handling basic office petty cash.
- Documentation: Maintain a highly organized digital and physical filing system for company audits, vendor contracts, and billing records.
3. Skills and competencies
- Technical Literacy: Proficient in using Microsoft Office Suite (specifically data entry, sorting, and formatting in Excel).
- System Familiarity: Basic knowledge of computer systems or ERP software (experience with accounting or industrial databases is a major asset).
- Organization: Exceptional multitasking and time-management skills with the ability to self-manage priorities in a busy environment.
- Communication: Strong verbal and written communication skills to interact professionally with both factory-floor workers and management.
- Detail Oriented: High level of accuracy in data entry, record-keeping, and document verification.
4. Physical demands and work environment
- Location Requirement: 100% In-person work at the manufacturing facility.
- Floor Exposure: Comfortable walking through the manufacturing area with appropriate safety gear when communicating with shop supervisors.
Pay: ₹13,000.00 - ₹15,000.00 per month
