Job Summary
The Estate Manager will be responsible for managing complete operations, maintenance, administration, and resident services of a high-rise residential society. The role includes supervising facility management activities, handling resident concerns, managing vendors and staff, ensuring safety and cleanliness, and maintaining smooth day-to-day functioning of the society premises.
Key ResponsibilitiesSociety Operations & Administration
- Manage complete day-to-day operations of the residential society.
- Ensure smooth functioning of all society services and common amenities.
- Maintain discipline, cleanliness, and operational efficiency within the premises.
- Coordinate with RWA/Management Committee for operational and administrative matters.
- Maintain society records, documentation, and operational reports.
Resident Relationship Management
- Handle resident complaints, concerns, and service requests promptly.
- Ensure high levels of resident satisfaction and community engagement.
- Coordinate resident meetings, notices, circulars, and communications.
- Manage move-in/move-out procedures and visitor management systems.
- Resolve escalations and maintain positive resident relationships.
Maintenance & Facility Management
- Supervise maintenance activities for electrical, plumbing, civil, HVAC, lifts, DG sets, fire fighting systems, STP/WTP, and common utilities.
- Ensure preventive and breakdown maintenance activities are carried out timely.
- Conduct regular inspections of society infrastructure and facilities.
- Monitor functioning of clubhouse, gym, swimming pool, parking, and other amenities.
- Ensure proper upkeep of landscaping, gardens, and common areas.
Staff & Vendor Management
- Supervise housekeeping, security, technical, gardening, and maintenance staff.
- Manage attendance, duty allocation, and performance of site staff.
- Coordinate with contractors, AMC vendors, and service providers.
- Ensure vendor compliance with society rules, safety standards, and service quality.
- Verify vendor bills, work completion, and service records.
Safety & Security Management
- Ensure implementation of safety and security procedures within society premises.
- Monitor CCTV systems, access control, fire safety equipment, and emergency systems.
- Conduct regular fire and safety inspections.
- Handle emergency situations, breakdowns, accidents, and crisis management.
- Coordinate with local authorities, police, fire department, and emergency services when required.
Financial & Reporting Responsibilities
- Assist in preparation of maintenance budgets and expense monitoring.
- Coordinate with accounts team for maintenance collection, vendor payments, and operational expenses.
- Maintain records of maintenance activities, complaints, inventories, and utility consumption.
- Prepare daily, weekly, and monthly MIS and operational reports for management.
Required Skills
- Strong knowledge of residential society and facility management operations.
- Good understanding of building maintenance systems and technical services.
- Excellent leadership, communication, and resident handling skills.
- Ability to manage staff, vendors, and multiple operational activities.
- Strong problem-solving and emergency handling abilities.
- Proficiency in MS Office and reporting systems.
Qualification
- Graduate in any discipline.
- Diploma/Degree in Facility Management, Hotel Management, or Administration preferred.
Experience
- 2-6 years of experience in high-rise residential society or facility management.
- Experience in township, residential apartments, or real estate projects preferred.
