Job Description – Associate Finance Manager – Payroll
Role Purpose
The Associate Finance Manager – Payroll will be responsible for managing and controlling
the end-to-end payroll accounting, faculty compensation, outsourced manpower validation,
incentive calculations, and payroll cost allocations across the organization.
The role will work closely with the HR Department and utilize the existing HRMS platform
to ensure accurate payroll processing, compliance, cost allocation, MIS reporting, and
financial control.
The position will act as the finance owner for all employee and faculty-related costs and
ensure that payroll expenses are correctly booked across business verticals,
campuses/locations, departments, cost centers, and profit centers.
Key Responsibilities
1.Payroll Management
- Manage payroll validation and processing for permanent employees, faculty,
contractual staff, and outsourced manpower.
- Coordinate with HR for attendance, leave, employee master changes, and payroll
inputs.
- Validate payroll outputs generated through HRMS/payroll software.
- Ensure timely salary and compensation processing.
- Process final settlements, reimbursements, and payroll adjustments.
- Ensure payroll accounting entries are accurately recorded.
2. Faculty Compensation Management
- Manage compensation processing for permanent and hourly-based faculty.
- Verify faculty contracts and approved compensation structures.
- Validate teaching hours, session records, and attendance.
- Reconcile faculty payouts with academic schedules and operational data.
- Track faculty cost by vertical and campus.
3. Outsourced Payroll & Manpower Validation
- Validate outsourced manpower deployment and vendor billing for housekeeping,
security, drivers, office assistants, and support personnel.
- Reconcile vendor invoices with actual manpower deployment.
- Review PF, ESI, and statutory compliance documents submitted by vendors.
- Prevent duplicate billing and ghost employee risks.
4. Incentive & Variable Pay Management
- Calculate and validate sales incentives, performance incentives, and staff variable
pay.
- Verify eligibility and performance data before processing.
- Coordinate with HR and business teams for approvals.
- Maintain proper audit trail and supporting documentation.
5. Cost Center & Profit Center Allocation
- Ensure payroll and compensation costs are correctly allocated to business
verticals, campuses, departments, shared service centers, and profit centers.
- Allocate shared faculty and staff costs based on approved methodologies.
- Validate monthly payroll cost booking and allocation accuracy.
- Ensure payroll expenses are reflected accurately in business-wise and campus-
wise P&L.
6. Payroll Accounting & Reconciliation
- Perform payroll-related accounting and reconciliations.
- Ensure proper month-end payroll closure and accounting entries.
7. Compliance & Audit Support
- Ensure compliance with TDS, PF, ESI, Professional Tax, labor laws, and contractor
regulations.
- Support internal and statutory audits.
8. MIS & Reporting
- Prepare payroll summaries, faculty cost analysis, campus-wise and vertical-wise
payroll reports, incentive payout reports, outsourced manpower cost analysis,
payroll variance analysis, and cost allocation reports.
9. Employee Travel Advance, Reimbursements & Recoveries
- Manage employee travel advances and settlement processes.
- Track pending advance settlements and employee recoveries.
- Monitor outstanding employee advances and initiate timely recoveries.
- Ensure proper accounting and cost center allocation of travel and
reimbursement expenses.
- Maintain accurate records for audit and compliance purposes.
Coordination Responsibilities
The role will work closely with HR, HRMS/payroll system teams, academic operations,
campus administration, treasury, compliance, and vendor management teams.
Qualifications & Experience
Education:
Experience:
- 5 years in payroll accounting, compensation management, cost center accounting, payroll
compliance, and multi-location payroll operations.
Technical Skills
- Strong payroll accounting knowledge
- ERP/HRMS/payroll software exposure
- Advanced Excel skills
- Knowledge of payroll compliance and labor regulations
- Experience with cost center and MIS reporting

Pay: ₹40,000.00 - ₹50,000.00 per month
