The Purchase Manager will be responsible for managing the complete procurement process for marine provisions, technical stores, spare parts, safety equipment, and general supplies required for vessel deliveries. The role requires identifying reliable suppliers, negotiating competitive prices, sourcing technically accurate products, ensuring timely deliveries, and maintaining strong vendor relationships. The ideal candidate should be proactive, detail-oriented, technically capable, and commercially smart.
Key ResponsibilitiesProcurement & Vendor Management
- Source quotations from multiple suppliers for vessel requirements.
- Negotiate competitive pricing, payment terms, and delivery schedules.
- Develop and maintain long-term relationships with suppliers.
- Continuously identify and onboard new, reliable vendors and manufacturers (target: 1–2 quality vendors per month).
- Evaluate suppliers based on pricing, quality, reliability, and delivery performance.
Technical Sourcing
- Study vessel RFQs and technical specifications.
- Source exact products or technically equivalent alternatives.
- Cross-reference IMPA codes, OEM part numbers, and technical data where applicable.
- Coordinate with suppliers to obtain datasheets, certificates, and technical documentation.
Purchase Order & Delivery Coordination
- Prepare Purchase Orders in Zoho Books for management approval.
- Follow up with suppliers until materials are delivered.
- Coordinate transportation, logistics, and clearing agents to ensure timely vessel deliveries.
- Manage both domestic and international procurement, including sourcing from China, Singapore, Europe, and other global markets.
Inventory & Cost Management
- Monitor stock levels and recommend replenishment of fast-moving items.
- Achieve cost savings without compromising quality or delivery commitments.
- Maintain accurate records of quotations, purchase history, and supplier pricing.
Documentation
- Maintain organized procurement records, supplier database, quotations, Purchase Orders, and certificates.
- Ensure procurement documentation is complete and readily accessible.
