The Sales Operations & ERP Coordinator will be responsible for coordinating the implementation and day-to-day adoption of the ongoing ERP system, strengthening field-sales planning and reporting, and ensuring that customer complaints are accurately logged, assigned, tracked, and resolved. The role acts as a coordination bridge between field sales employees, the Sales Head, service teams, and management.
Key Responsibilities
1. ERP Implementation & Administration
- Coordinate the end-to-end implementation and operational rollout of the ERP system across relevant departments.
- Support data migration, master-data creation, user onboarding, workflow configuration, and process standardisation.
- Train and assist employees in the correct use of the ERP system and promote consistent adoption across teams.
- Monitor data accuracy, timely entry, system usage, and compliance with defined ERP processes.
- Liaise with the Ceoitbox support team and internal stakeholders to resolve system issues and implement improvements.
2. Field Sales Coordination & Performance Reporting
- Prepare, review, and monitor weekly working plans and daily sales meetings for all field sales employees in alignment with sales priorities.
- Conduct daily follow-ups with sales employees to capture visits, dealer meetings, enquiries, demonstrations, orders, collections, and pending actions.
- Ensure disciplined reporting, timely submission of activity updates, and adherence to approved travel and customer-visit plans.
- Track execution against weekly plans, identify deviations or bottlenecks, and coordinate corrective follow-up.
- Compile concise daily and weekly management reports for the Sales Head, highlighting performance, commitments, risks, and actions required.
- Maintain accurate sales activity records and support management with actionable operational insights.
3. Customer Complaint Registration & Resolution Coordination
- Record and formally lodge customer complaints with complete and accurate information in the designated system or complaint register.
- Categorise complaints, assign them to the appropriate service or responsible team, and establish clear ownership and expected timelines.
- Track every complaint through closure, follow up on pending cases, and escalate delays or critical issues to the appropriate authority.
- Keep customers and internal stakeholders informed regarding complaint status and next steps, wherever required.
- Maintain complaint-resolution records and prepare periodic reports on open cases, ageing, closure time, and recurring issues.
- Support root-cause analysis by identifying repeated complaint patterns and recommending process improvements.
Required Skills & Competencies
- Strong coordination, follow-up, documentation, and stakeholder-management skills.
- Working knowledge of ERP/CRM systems, Microsoft Excel, reporting dashboards, and office productivity tools.
- Clear verbal and written communication in English and Hindi; Punjabi will be an advantage.
- Ability to work with sales and service teams, manage multiple priorities, and maintain attention to detail.
- Process-oriented mindset with a strong sense of ownership, accountability, and confidentiality.
- Analytical ability to convert field updates and complaint data into concise management reports.
